The Executive Assistant to the Dean and Ombudsperson for Students provide executive administrative support to the Dean of Student Life and Academic Development. They will also implement projects and perform responsibilities based on a thorough understanding of the Dean's priorities and expectations. This person will manage multiple tasks, changing priorities, and unanticipated student related needs with confidentiality, discretion, and collaborative coordination to best represent and advise the Dean.
Schedule appointments and meetings.
Prepare, coordinate, and edit correspondence, minutes, reports, and publications.
Maintain confidential student and Dean of Student Life files.
Organize confidential materials and meetings related to student grievances and judicial conduct.
Coordinate edits and prepare annual Student Handbook.
Coordinate edits and updates of Division of Student Life information for inclusion in course catalogs, Board books, marketing materials, other publications, and University webpages.
Provide administrative support to Student Experience Committee; email meeting notifications, record and distribute minutes, compile information packets for meetings.
Manage and maintain the student conduct database.
Track sanctions and follow-up actions.
Track Clery data as it relates to students.
Coordinate database training for the Dean of Student Life and Residence Life professional staff.
Collaborate and liaison with Residence Life staff and Public Safety staff as needed.
Manage immunization records for graduate and LCAL students and communicate with students to ensure compliance with state requirements .
Collaborate with Enterprise Applications to utilize Communication Management applications in Colleague to communicate with students and create self-service viewing of immunization record status.
Hire and oversee Graduate Assistant to assist with maintaining immunizations records.
Perform other related administrative duties as they arise and as agreed upon with the Dean of Student Life and Academic Development.
This person will be the ombudsperson for students and as such will prioritize student needs and respond to emergencies, requests, and inquiries from students. Serving as a liaison between students, parents, staff, faculty, and administrative offices to provide communication necessary to resolve student concerns and organizing confidential materials and records related to student issues.
Minimum of 3-5 years of demonstrated extensive and progressive experience providing executive, project management, and support to senior management.
Ability to multi-task with competing deadlines.
Demonstrated strong interpersonal and communication skills to interact effectively and tactfully with students, faculty, and staff in order to handle sensitive problems and resolve conflict.
Proficiency in managing a complex calendar and ability to prioritize and manage a rapidly changing schedule.
Demonstrated strong writing and editing skills of correspondence, minutes, publications, and reports.
Experience using Microsoft Word and Excel.
High degree of accuracy and attention to detail.
Must be authorized to work in the United States; if you hold a visa, does your visa status allow you to work at Lesley University.
Minimum of 3-5 years of demonstrated extensive and progressive experience providing executive, project management, and support to senior management in a higher educational institution and with knowledge of university organizational structure, policies and procedures.
Salary Grade 25.
