This is an exciting opportunity for someone interested in a career path in higher education. The Executive Project Assistant provides high-level administrative and project management support to the Project Manager and Jr. Project Manager in the Office of the President. The work performed by the Project Managers and supported by this position includes running executive searches (for positions reporting directly to the President), overseeing award selection processes (honorary degrees and commencement speakers, President’s Awards for Public Engagement and Impact, and the Thomas Frances Jr. Medal in Global Public Health), supporting various presidential advisory committees, and assisting with other presidential initiatives and special projects as assigned. The successful applicant will have relevant experience supporting high-level strategic and complex projects. The Executive Project Assistant reports to the Project Manager. General administrative support for other staff within the Office of the President, as well as some work on evenings and weekends, may be required.
Provide confidential administrative support for executive search advisory committees and other presidential advisory committees, initiatives, and special projects as assigned. This includes organizing background materials and agendas, scheduling meetings, and taking notes upon request. Occasional staffing of committee-related meetings and events may be required.
Effectively manage deadlines by maintaining or implementing necessary filing and organizational systems and databases.
Provide calendar support for two Project Managers. This includes scheduling with internal and external participants, often with broad representation from varying departments and across university campuses.
Assist with composition and preparation of written materials for the President and Regents, including correspondence for the President’s signature.
Proofread and finalize confidential and sensitive correspondence, documents, and reports. Conduct background research as needed.
Coordinate travel arrangements, prepare itineraries, and organize materials for confidential special guests and delegates.
Reconcile and process invoices, prepare expense reports for payment, and maintain necessary financial records.
Coordinate hosting and catering arrangements for meetings and special events, including set-up and clean-up.
Bachelor’s degree and a minimum of 2-3 years experience in performing responsible administrative duties. Candidates with an equivalent combination of education and experience will also be considered.

Demonstrated savvy in relation to digital environments—and an openness to learning new software tools as those environments change. Proficiency in Microsoft Office Suite (Excel, specifically), G Suite, Adobe Acrobat, computer file management, web editing, and internet research.
Capability to take a proactive approach to assignments and willingness to take initiative in assuming additional responsibility for tasks outside of defined position description.

Minimum salary for this position is $50,000
