1. Item File Coordination : Directs item file development and implementation and provides strategic long-term systems vision; helps to coordinate cross functional employees and consultants engaged in item file systems and process development; providing support for the operation and maintenance of existing computer systems and/or clinical/operational workflows relating to the use and optimization of the electronic medical paticient billing records. Documents item file vision and development; makes systems recommendations to Logistics management; leads meetings with key stakeholders to facilitate communication and cross-functional consensus. Acts as a liaison between Logistics, Purchasing and OHSU end user departments regarding the Item File.
2. Project Management: Manages item file related projects. Provides strategic and functional program direction through the coordination of staff engaged in program activities; identifies long range objectives, short term operational goals and develops operating plans based on in depth knowledge of program regulations and requirements by documenting project plans, time lines, constraints, and progress. Communicates project objectives and progress to customers and stakeholders; organizes and leads project meetings; coordinates with related departments, projects and resources.
3. Item File Monitoring and Maintenance : Oversees ongoing maintenance of item file structure and content; coordinates item file tasks and assignments with Contracting & Purchasing Services staff, standardization analysis, Logistics Warehouse, point of use staff, and on site supplier representatives to resolve standardized product related purchasing and supply issues. Assist in the coordination of product conversions and contract implementation. Perform product and cost comparison analysis when required. Develop, maintain and monitor reports for tracking inventory, product usage, cost and purchase ordering process. Screen and process new item request that fall out side of the normal standardization process. Answers customer questions regarding proper item file use, standardization and product conversions. Drafts and enforces policies and procedures related to item file use. Uses reports to ensure item file data accuracy, and assess progress in converting manual orders to automated processes.
4. Problem Solving/Process Improvement : Identifies, leads and participates in process improvement efforts in support of the Logistics mission, contributes to Logistics strategic planning activities and documentation, participates in systems testing activities, and troubleshoots item file systems issues. Coordinates temporary resources brought on to assist with process improvement efforts; serves as a positive agent of change.
Physical Demands and Environment : General office environment. Sitting for up to 8 hours per day, bending, standing, ability to carry and lift up to 20lbs on a non-continual basis. Some travel between university campus buildings will be required.
