Reports to the Support Services Manager assisting with training documentation, reporting, database maintenance, audit files, and training quality management. The Coordinator also coaches and trains the Support Services Assistants and Specialist(s).
Summary of Essential Job Duties:
Prepares the necessary course paperwork for trainers and students.
Collects training paperwork after training courses have been completed and ensures all documents are properly submitted by trainers. Tracks all missing documents.
Manages trainers’ quality control processing including the production and distribution of course feedback reports.
Supervises the creating and mailing of training reports to Institute for Workforce Education clients and grantors after each course is completed.
Files and organizes client and vendor contracts for audit and payment purposes.
Supervises database management including updating the information for trainers’ quality outcomes, students’ performance outcomes, and other course information. Data is used to generate statistical reports.
Supervises the creation of audit files for each of the training programs completed making sure that Institute’s and grantor’s policies are strictly followed.
Trains and coaches new Support Assistants and Specialist(s) on the Institute’s best practices and systems.
Works on various projects assigned by the Support Services Manager.
Performs other duties as assigned.
Associate’s degree in related field with a minimum of 2 years of experience coordinating a program and the activities of a small department. Bachelor’s degree preferred.
Intermediate to advanced Microsoft Excel, Word, Access, and Outlook skills.
Experience with training and training documentation and audit practices.
Proven ability to cultivate and maintain relationships with colleagues and vendors.
Good written and verbal communication skills.
Bilingual preferred (Spanish/English).
