GSD's Office of Executive Education and International Programs seeks an experienced Program Manager to support its domestic and international executive programs, within a growing and fast-paced department.
Responsibilities for managing an assigned annual portfolio of executive education programs, supporting all phases of delivery from planning, enrollment launch and customer service, program planning and delivery, and post program wrap-up and reconciliation. Responsible for delivering exceptional customer service to faculty and program participants, working under the direction and in close collaboration with the Associate Director and Director. Produces and manages a program checklist and timeline and adheres to programmatic deadlines. In additions, supports department functions including marketing, communications and administration.
Please note: The individual in this role will manage a portfolio of programs the majority of which occur during the summer months.
Specific Programmatic duties include, but not limited to:
Communicates regularly with key program stakeholders including program team members, faculty chairs, instructors, Associate Director, Director, and facilitators. Serves as contact on assigned programs for faculty, participants, industry professionals, colleagues, students and vendors.
Collaborates with team members to disseminate program and marketing schedules, mailings, and participant communication in accordance with established program timelines and best practices.
Organizes and maintains all program material production including program websites (Canvas and Certain), readings, and assignments, digital and printed program materials, signage, evaluations, etc.
Arranges and coordinates all program logistics including program space and special-event venue, media services, catering, transportation, sites visits, travel, and other program-specific activities. Negotiates as assigned with hotels and vendors, makes recommendations for food and activities.
Manages program delivery activities from registration to closing; actively manages classroom and other program spaces, provides customer service support to faculty and participants on-site and online.
Specific Department Administrative duties, but not limited to:
Manages department online registration system (Certain). Includes setting up accounts, program templates, individual program sites, troubleshooting registration questions.
Manages department's provider accounts and participant attendance records with continuing education entities such as the American Institute of Architects (AIA), etc.
Develops and maintains program records, department contact/CRM database participates in departmental social media accounts, and assures compliance with University requirements regarding participant and alumni status. Pulls data and creates reports as requested by Associate Director, Finance Manager and/or Director to present in use for planning and decision making purposes
Monitor assigned program budget(s) and make decisions on expenditures toward a defined budget. Prepares, issues, and tracks department faculty contracts.
Manages student interns, ensuring satisfactory completion of assigned tasks, working closely with the Associate Director, who serves as department student/temporary supervisor and payroll coordinator.
Prepare for and participates in program team meetings, weekly all-staff meetings and any organization meetings as needed.
Faculty Confirmations of teaching sessions and classroom needs
Proofread and prepare presentations, routine correspondence, meeting minutes, and other materials requested by the Associate Director, Director, faculty or other team members
Prepare materials & communications for content review and learning sessions for instructors.
Serve as a contact and liaison for cross-school constituents as requested
Other duties, as required
There are limited supervisory responsibilities associated with student interns and temporary employees.
Some lifting of curriculum boxes and classroom set-up may be required.

Minimum 5 years of project management experience.
Excellent technical skills including high proficiency with MS office suite, particularly Excel and Powerpoint, required.
Experience with social media and CRM databases.
Proven ability to proof effective proposals, reports and papers.
Must be able to work overtime hours on evenings and weekends as required for program delivery, particularly during the summer months.
The position requires strong interpersonal skills, including proven ability to interact well with faculty, staff, participants, alumni, industry leaders and clients across cultures.
Strong ability to communicate effectively, both verbally and in writing.
Ability to manage multiple concurrent priorities and tasks.
Flexibility, judgment and ability to handle complex and confidential material with discretion.
Ability to work under pressure while maintaining positive attitude, manage multiple tasks simultaneously, work both independently and as a team member, take both direction and initiative in deadline oriented environment.
Requires a flexible, adaptable team player with an eye for detail and skills to collaborate with multiple teams with shared accountability in fast-paced, high-energy, rapidly evolving environment.
Customer focused, with proven ability to develop trusting working relationships.
Strong comfort level with social media/networking tools, internet use, and website editing, content management.
Knowledge of basic HTML and CSS a plus.
Digital marketing skills a plus.
Ability to work effectively with a variety of constituents.
Excellent judgment in problem solving skills on a consistent basis.
Familiarity with Harvard or previous experience in an academic environment, preferred.
Interest in design, architecture, and/or real estate a plus.
Ability and willingness to travel internationally, occasionally, a plus.
