The Assistant Director of Financial Operations is part of the Finance team, reporting to the Director of Financial Operations. The candidate will prepare the payroll and manage the distribution and reporting processes for payroll for all PCOM campuses. The candidate will manage Financial Operations personnel whose jobs functions include the maintenance and preparation of reports and statistics detailing financial results, and the billing and collections of rent and miscellaneous receivables. The candidate will be responsible for evaluating, prioritizing, designing, and executing various process transformation initiatives across the finance function, in alignment with PCOM's Finance Department's objectives and initiatives. The candidate interacts with a diverse group of internal personnel, including other financial professionals, technology experts, and functional staff to manage various projects.
DUTIES AND RESPONSIBILITIES:
Processes the payroll with support from the Financial Operations staff.
Supervises and manages the payroll/financial operations staff.
Examines, analyzes, and interprets all payroll reports for accuracy.
Maintains the ADP/Kronos time and attendance module and manages employee timekeepers who add and delete employees as their employment changes. Trains new timekeepers in time and attendance system in a timely manner.
Audits time records submitted by timekeepers, verifying sign-offs and ensuring such payments are in accordance with the policy and procedure manual.
Reviews special check requests, etc. for advances, adjustments, etc., verifying signatures and ensuring such payments are in accordance with personnel policies.
Coordinates with Human Resources to clarify employee information and ensure correct, consistent interpretation of personnel policies.
Trains staff to ensure backup capabilities in payroll and other software including banking systems.
Responsible for employee and student related government reporting, including federal and multiple states, periodically and at year end, W-2 and 1099
Acts on the administrative level of the PNC Treasury software that controls all disbursements, ACH’s and wires issued by PCOM.
Evaluates existing accounting and business processes (in Financial Operations) and develops plans to standardize, automate, and improve efficiency and effectiveness while adding value to the organization through enhanced analytics.
Influences change across key constituents; remove obstacles to achieve objectives.
Works closely with functional owners, senior management, and technology experts to develop and manage detailed project plans.
Reports on project status, key milestones/risks/dependencies, and results achieved to senior management.
Works closely with Financial Systems team on systems implementation and integration efforts.
Assists Director of Financial Operations and Controller with other job functions across the departments and campuses.
Other duties as assigned
• Bachelor’s degree in Business, major in Accounting or Finance; CPA and/or MBA a plus • 7+ years of payroll processing experience required; Payroll processing through Banner 9 experience required • 7+ years of accounting/financial operations experience required • Supervisory experience required • Strong analytical skills with an attention to detail and an ability to perform complex analyses • Higher Ed experience preferred but not required • Formal Project Management experience a plus • Mastery of end user applications (e.g., Microsoft products such as Excel, Powerpoint, Word, and Access) and proficiency in flow charting tools • Kronos and ADP experience preferred • Argos experience preferred
