Departmental Overview Opened in 1958 and connected to Morrison Hall by an archway and plaza, Hertz Hall of Music is one of the best concert spaces in the State of California. Seating 678, this performance space permits us to house our Noon Concert Series and a full roster of evening and weekend concerts by superb student ensembles. Cal Performances (the outreach performance unit on campus) also presents professional recitals here.
This position manages the Music Department performances, public events, lectures, rehearsals and classes in Hertz Hall, including both administrative and technical management. The position oversees the use of equipment and the facilities, hires, schedules and supervises part-time student staff, and serves as liaison for non-department users of the Hertz Hall facilities and equipment, ensuring compliance to the University and departmental policies and procedures.
Responsibilities Management of Schedule:
In consultation with Chair, faculty, staff and all outside users (including Cal Performances and Student Musical Activities), manages the schedule for Hertz Hall.
Plans, coordinates and maintains an accurate schedule of events (concerts, symposia, classes, auditions) and all related rehearsals, and equipment/facilities in preparation for these events - number of total events is around 30-35 each semester (this includes all, not just public).
Scope includes all communications (email, telephone, written correspondence) concerning Hertz Hall and events, and any subsequent follow-up with performers and general public as necessary.
After consultation with all interested parties, this position is solely responsible for setting and controlling the schedule for Hertz Hall and making that schedule available within the department and publicly when appropriate.
Scheduling also includes the very necessary step of making sure that the multiple events and their related rehearsals, set-up and break-down events coordinate with each other.
Coordinates instrument technicians scheduled access for instrument maintenance and tuning.
Management of Events:
Communicates with ensemble leaders and individual performers to ensure that performance needs are addressed including stage plot and set up, equipment/instruments needed, lighting, etc.
Works with Cal Performances ticket office to manage advance ticketing and ticketing at the events themselves (this involves providing schedule of events to box office staff, arranging comps for performers and media).
Works with department AV Technician and Publicity & Development Specialist in meeting the needs of Hertz Hall events.
Works with Department Manager to develop a Hertz Hall budget; ensure that spending stays within budget constraints.
Works with the department's Facilities Specialist to maintain and ensure the security of the building and facilities including instruments, furniture and sometime audio-visual equipment - organizes technicians for maintenance, tuning and repair.
Maintaining ADA and OSHA requirements (in conjunction with Department Safety Committee).
Coordinates instrument/furniture moves by staff at appropriate times. With the help of student staff, ensures that proper safety equipment is in place.
Orders and recommends necessary repairs and upgrades to the building via Facilities and Custodial Services.
Ensures correct use and care of instruments and other equipment by staff and users of the facilities/equipment.
Supervision of Student Staff at Hertz Hall:
Supervises 10-15 part-time work-study student staff to include: hiring, maintenance of accurate work schedules, communications with staff, time sheets, supervision at events and rehearsals, provision of necessary training in: hall procedures, use of equipment, front-of-house procedures, safety, and provides continued support and supervision in these areas, resolves scheduling issues and personnel grievances when necessary.
Liaisons with greater on-campus and off-campus community:
Communicates and coordinates activities of all outside users of Hertz Hall, most importantly, Cal Performances and
Student Musical Activities and provide these groups with some administrative and stage management support as needed.
Assists with inquiries, and in resolving Hertz Hall use policy issues as requested by/in consultation with the Chair and Department Manager.
Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.
Thorough knowledge of the campus, its vision, mission, programs, policies, achievements and infrastructure.
Skill in effectively meeting budget and time constraints.
Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus; that is, for fundraising events, skills to provide excellent donor stewardship.
Highly developed interpersonal communication skills including political acumen and social perceptiveness.
Highly developed judgment, decision-making and problem recognition/avoidance/resolution skills, including skill in determining those issues/problems that need to be brought to management's attention.
Extensive background/experience in Music - both in performance, stage managing and concert managing experience
Knowledge of the performing arts, music and arts administration are required (Music/Arts administration degrees preferred).
Knowledge of requirements to plan, publicize and organize the presentation of performances
Knowledge on how to maintain a performance hall
Knowledge of systems within the building, troubleshooting, initiating repairs, recommending upgrades.
Knowledge of proper handling of musical instruments and arts-related equipment
Bachelor's degree in related area and/or equivalent experience/training
Salary & Benefits Annual salary is commensurate with experience within the range of $55,100 - $66,000.

Other Information This will be a full-time, partial-year career position working 11 months of the year with a one-month summer furlough (to be determined at the time of hire). Depending upon departmental finances, this may become a full-year position in the future.
