Provide executive level administrative support for the Dean's Office. Serve as Dean's Office receptionist—answer telephones, greet visitors; coordinate as necessary with departments; personnel processes; assist with meetings and events as needed; coordinate communications and correspondence with college and university departments and offices and internal stakeholders; responsible for office supplies and purchasing; responsible for supply and equipment inventory; responsible for processing College hiring documents (paper and online); maintain college personnel files; prepare and send email correspondence to relay or request various types of information from departments/school or other offices. Coordinate building management and maintenance to include scheduling classrooms and special events. Responsible for maintaining College website and digital signage as well as providing support for College marketing efforts. For the Associate Dean, scheduling and coordinating of Associate Dean's calendar; support analysis and production of reports; provide administrative support for projects/committees; manage details of Associate Dean's office travel as assigned; Act as backup to the College Coordinator. Assist with eVA/purchasing and travel for the college.
Demonstrated experience with general office policies, practices and equipment. Excellent oral/written communication, time management, professionalism, and interpersonal & organizational skills. Demonstrated proficiency in using Microsoft Office Word, Excel, PowerPoint and Outlook. Experience working with multiple tasks, interacting with multiple and diverse constituencies and maintaining confidentiality are required. Experience providing programmatic or administrative support.
Executive level administrative support experience, academic environment experience, working knowledge of Banner, eVA, COGNOS and PeopleAdmin preferred.
