The Administrative Assistant provides secretarial-administrative support for the Senior Vice Chancellor (SVC) for the Health Sciences and Petersen Dean of the School of Medicine, University of Pittsburgh. The candidate will serve as point of contact between Senior Vice Chancellor for Health Sciences (SVC) and the administrative areas responsible for processing confidential faculty payroll paperwork for Schools of Health Sciences according to established procedures.
Additional duties include maintenance of digital records, review and preparation of paperwork for approval by SVC, confirmation of signature/approval, and rerouting and distribution of completed paperwork. Candidate will play a pivotal role in assuming responsibilities of administrative assistant/receptionist. Candidate provides reception coverage for three hours per day, having acquired comprehensive knowledge of roles and responsibilities of receptionist.
Reception duties include greeting guests in a professional and polite manner, intercepting visitors to provide directions or to contact those in suite so as to prevent disturbances of SVC office workers. Additionally, candidate will answer, screen and take messages for phone calls for SVC and staff. The ideal candidate will work independently and as a supporting member of an office staff of four.
Candidate must have comprehensive knowledge of computers and Microsoft Office Suite
Department Details: The Senior Vice Chancellor for the Health Sciences (SVCHS) at the University of Pittsburgh supervises deans of the six Schools of the Health Sciences- Medicine, Pharmacy, Nursing, Dental Medicine, Health & Rehabilitation Sciences, and Graduate School of Public Health. Additionally, the SVCHS holds the role of Petersen Dean of the School of Medicine, overseeing all aspects of medical education at the University of Pittsburgh.
