Following the conclusion of the most successful Campaign in the history of business schools, this new role within the Donor Relations team will help to manage and enhance an ever increasing scope of responsibility. As key member of the Donor Relations group in Harvard Business School's External Relations Department, the Manager, Donor Relations Operations & Fund Management enables donor stewardship and recognition efforts on behalf of the School through the management and analysis of school-wide fund and donor data, ownership of team workflow and content management efforts, and active contribution to restricted fund spending projects. Reporting to the Associate Director, Donor Relations Operations & Fund Management, the Manager, DR Operations works closely with colleagues across External Relations, HBS and Harvard University.
Responsibilities: Lead Donor Relations workflow management efforts for a twelve person team to enable both excellence and efficiency in a high-volume environment. Investigate and implement new workflow approaches and tools, maintain and update existing project management resources as needed, and update related documentation in order to empower team members to do their best work. Serve as project management and workflow technology tools expert, lead project check-in meetings, set up and refresh team timelines, setup project databases, and suggest data/workflow enhancements to improve team operations.
Build and maintain a robust content management process for the Donor Relations team, including an internal library of team best practices using a departmental wiki and a content and data points library on topics of interest to both prospects and donors in partnership with the stewardship communications team.
Oversee the input, upkeep, and integrity of donor and fund information, including the creation of new records and maintenance of historic information. Perform analysis to inform strategic planning, inform restricted fund spending efforts, and communicate impact to donors. Initiate and lead proactive information audits (scheduled and ad-hoc) and supervise large scale data updates. Direct donor and fund information request and fulfillment processes for various constituencies (faculty, administrators, donors, frontline officers, university colleagues, etc.) as needed, ensure appropriate handling of confidential information.
Enable HBS to meet donor intentions via careful management of assigned, discrete restricted fund spending projects. Ensure careful maintenance of fund spending records based on giving activity and donor feedback, update spending documents throughout the year as needed. Serve as local project manager partner for University Donor Relations on their annual report to all Harvard endowment donors, assist Coordinator with restricted fund financial statement reviews during high-volume times.

Bachelor's Degree and 5+ years of experience in project management and data/fund administration, or related experience.
Experience in stewardship, donor relations or development a plus.
Ability to work autonomously and collaboratively to prioritize a high-volume of work in a fast- paced, team-oriented environment.
Technology and process improvement mindset, identifies roadblocks and suggests solutions.
Experience implementing process/tech changes effectively through communication/training.
Strong analytical abilities and attention to detail, with ability to understand overall context as well.
Experience developing spreadsheets and databases for analysis and operational support
Strong written and oral communication skills, ability to communicate/manage workflow without direct supervisory authority.
Strong technical skills including Microsoft Office, especially Excel. Experience with project management, interactive reporting, and/or relational database software preferred.
