To assist faculty members and program heads with administrative matters, serve as a liaison between faculty members, program heads, and internal and external constituents, understand and utilize applicable records management and database systems, handle and secure confidential information, perform research and analyze results, create and generate reports, maintain schedules, and assist in planning and staffing events.
Primary Responsibilities :
Serve as a liaison between faculty members, program heads, students, administrators, staff, alumni, and external constituents; assist students with issues related to courses and programs; exercise judgment in responding to inquiries via phone, e-mail, and in person; handle mail; handle routine matters and correspondence not requiring the personal attention of faculty members and program heads
Understand and utilize applicable university and law school records management and database systems, including academic, accounting, admissions, career, alumni, donor, and project management systems; create, customize, and generate reports; create and maintain paper and electronic files; process and transmit information, data, and documents to applicable recipients via paper and electronic media; handle and secure confidential information
Perform typing, formatting, proofreading, editing, and assembling of course and program materials, scholarly writings, reports, spreadsheets, and correspondence; perform copying, collating, scanning, and faxing of documents; program phone settings, greetings, and voice mail; troubleshoot computer, copier and printer problems
Maintain course and program calendars and schedules; assist in planning and staffing special events; coordinate marketing materials and mailings; review course and program web pages to ensure that information is up to date
Prepare and maintain course and program attendance rosters, track attendance, and prepare reports; assist with course grades and program participation reports
Perform online research, compile information and data, analyze results, and prepare reports
Understand and follow university and law school administrative procedures; order textbooks, program materials, and office supplies; schedule rooms; coordinate copying and printing orders through the university print shop; prepare materials related to committee work, service work, and RPT
Serve as back-up for other law school specialists as necessary; perform special duties and handle special projects as assigned
High school diploma and minimum of 3 years experience required.
Word processing and database training preferred.
Strong proofreading, editing and research capabilities, including internet research; computer software and computer troubleshooting skills, and organizational and prioritization abilities
