Departmental Overview The Center for Race and Gender (CRG) is an interdisciplinary research center at the University of California, Berkeley, that supports critical and engaged research on race, gender, and their intersections. The CRG cultivates innovative research and creative projects, organizes events, and generates exchange among faculty and students throughout the university, between the university and local communities, and among scholars in the Bay Area, in the US, and around the globe.
Responsibilities The Administration Manager works under general direction and is responsible for overseeing administration, finance, and human resources, and supporting senior leadership in planning, organizing, and implementing various programs and functions. This work involves a range of administrative and analytical services, managing general operations, communications, facilities maintenance, and event planning.
10%: Gathers and analyzes financial data, develops and maintains departmental databases, working closely with the financial analyst to resolve monthly general ledger and budget issues and to make fund transfers and deposits.
30%: Performs recharge and reimbursement administration, student stipends, purchasing, and vendor communications, deposit of donations, including student grants, working groups and research initiatives finances. Also communicates directly with visiting lecturers and scholars and possibly their institutions to administer honoraria and reimbursements.
10%: Coordinates and participates in a variety of human resources activities including employment, training, and ensuring the completion of forms and documents related to HR and Payroll for the unit.
10%: Organizes and archives documents and materials related to: finances, events, grants, funding, and others.
10%: Assists with donations and grants. Tracks donations made to the unit's gift funds and initiates acknowledgment letters to be signed by the Director and mailed. Assists in collecting contact information for addition to mailing lists used for outreach to students and supporters. Provides input into the non-technical portions of grant proposals.
10%: Manages special academic events and high level unit visits, including travel and lodging arrangements, technical services, venue reservations, catering and staffing needs.
5%: Coordinates daily activities, interfacing with student assistants and affiliated faculty and staff, maintains the unit's calendars, and resolves scheduling issues. Manages and plans usage of supplies and water delivery, office equipment and software including purchasing, contract negotiations and maintenance, keys and security needs, general facilities maintenance.
10%: Assists in the design and drafting of CRG website content; assists with updates to Facebook, e-newsletters, and Instagram; assists with producing printed materials.
5% Attends VCRO managers meetings and other relevant campus meetings and information sessions.
Bachelor's degree in related area and/or equivalent experience/training
A minimum of three years experience with office and financial management or similar with experience in event and logistical planning and/or project management.
Thorough knowledge of higher education rules and regulations, processes, protocols and procedures for budget, account and fund management, personnel management.
Thorough knowledge of financial analysis and reporting techniques, human resources policies and procedures for staff and academic employees.
Knowledge of a variety of administrative operations activities such as events planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
Knowledge of common higher education specific computer application programs.
Interpersonal communication skills to include verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills.
Strong skills in short term planning, analysis and problem-solving and customer service.
Ability to use discretion and maintain all confidentiality, and to use sound judgment in responding to issues and concerns
