POSITION OVERVIEW: The position of Program Advisor, Student Activities is responsible for advising and supporting the SUA Program Board in areas as assigned as well as registered student groups at the University of Minnesota. This position will specifically have responsibilities for supervising the assigned Program Board Coordinator, advising assigned student Program Board Committees, and coordinating assigned Student Activities initiatives.
Other responsibilities will include ensuring student group compliance with University policies and permits, acting as an advisor and interpreter of policy to student groups and being a liaison to the University and its constituents. The position will report to the Events and Activities, Program Director.
This position will initially be responsible for Programs Area advising and supervision as listed and assisting with Student Group Services general duties and responsibilities. Specific projects will be assigned.
Programs Area Advising (50%) • Provide vision, oversight and support for the two to four student event planners, in the planning and implementation of more than 50 events annually. • Negotiate agreements and maintain positive relationships with sound/stage/lighting vendors, agents and artists to make decisions on performance scheduling and production while representing and protecting university interests. • Manage difficult conversations around meeting the needs of multiple constituents keeping the goals of SUA and the University, and the student experience in the forefront of all decisions. • Plan, forecast, monitor and allocate annual committee budget. • Develop and educate student programmers on framework for evaluating current and future trends in music and the arts popular with student population, appropriate budget/spending, individual events, and ensuring a diverse overall programming vision. • Provide oversight and work with SUA Marketing Managers to promote and maintain awareness of Committee Events and social media presence. • Oversee the coordination of program assessment and evaluations for all 50+ committee events. • Work with colleagues in Student Unions & Activities to offer programs, resources, and services to support an inclusive and diverse University community. • Develop and present workshops in leadership development and program/event planning for student leaders and advisors. • Provide opportunities and assistance for students to develop leadership skills, presentation skills, and experiences working on teams and with a diverse group of people • Stay current on event industry trends and best practices as they relate to college student programming. • Other duties and special projects as assigned.
Supervision (40%) • Supervise, train and evaluate one student Program Board Coordinator who is responsible for production elements for up to six large scale, campus-wide Program Board events planned annually. • Serve as on-call supervisor for 50+ Campus Wide Events, most of which occur on nights and weekends. • Educate five student Program Board Coordinators, in their paraprofessional role, on peer supervision, presentation skills, decision-making, problem-solving, managing confidential information, and developing autonomy.
General Duties and Responsibilities (10%) • Advise and consult with registered student groups on student group registration, policy and procedures, conflict resolution, problem solving, event planning and risk management. • Work with colleagues in Student Unions & Activities to offer programs, resources, and services to support an inclusive and diverse University community. • Assist in Student Activities outreach and community-building efforts through presentations, tabling, and workshop facilitation. • Other duties and special projects as assigned.
Essential Qualifications: A Bachelor’s degree plus at least four years of related experience is required. Knowledge of student development, event planning and programming. Experience participating in student groups or student programming. Excellent organizational skills, effective written and verbal communication skills and the ability to work with diverse groups of people. Proficiency in using event planning/organizational software such as; Google-sheets/forms/docs, Microsoft Office – excel/word. Position requires work on evenings and weekends.
Preferred Qualifications: Experience working with students and student groups in a college/university environment. Master’s degree in education, student development, student personnel or related academic areas. Experience working with organization management software (Campus Labs).
