Sarah Lawrence College seeks an Administrative Assistant for the Fund for Sarah Lawrence Department. Under the supervision of the Senior Director of Annual Giving Programs, this position provides administrative support for all annual giving staff. The administrative assistant works to ensure that all aspects of the fundraising programs (Alumni and Parents) are completed accurately and timely. She/he will assist with digital appeals, gather and organize data, draft reports, respond to donor inquiries, schedule meetings, manage department budget, process expenses, and complete time reports for other hourly staff.
Duties & Responsibilities:
Prepare acknowledgements, memos, meeting agendas and other correspondence for all members of the Annual Giving staff as needed. Compose rough drafts when necessary and answer routine correspondence independently.
Under the guidance of others, complete mail merges for solicitation letters, organize all in-house annual giving mailings, email communication, solicitation letters, pledge forms and reminders.
Work closely with Advancement Operations staff to update and code all gifts without an appeal.
Assist Advancement colleagues and donors, volunteers, and others with questions about gifts, solicitation assignments or other aspects of the annual giving program. Direct calls to other Development department staff as appropriate.
Handle all arrangements for Parent Council stewardship including meetings and conference calls and other parent engagement initiatives. Reserve rooms, send invitations, organize replies, determine menus etc.
Under the guidance of the Assistant Director of Annual Giving, provide administrative support for phonathons and fall/spring calling campaigns. Assist Assistant Director with phonathon recruitment, scheduling, compiling materials and supplies
Handle all purchase orders, budget requisitions and check requests. Monitor expenses. Follow-up with purchasing department, business office and vendor as appropriate.
Perform other related duties as assigned.
Knowledge, Skills & Abilities:
Very strong computer skills, excellent knowledge Microsoft Office, client management software, and web document sharing.
Excellent writing, grammatical and proofreading skills
Ability to work well with other members of the team and independently as needed to organize projects and follow through on details
Excellent organizational skills
Must work well under pressure and exercise good judgment, tact and sensitivity in dealing with donors, volunteers and confidential information.
Initiative, flexibility, and ability to interact well with people.
BA preferred, plus 1 full year of related experience preferred.
Experience with complex mail merge, coding, and data entry; familiarity with spread sheets Physical Requirements:
Ability to lift items weighing as much as 25 lbs.
