Coordinator, Center for Peace and Commerce, Kroc School of Peace Studies

In coordination with the Assistant Director, develop and maintain the Center for Peace and Commerce (CPC) campus based initiatives. Plan, organize and implement all aspects of the Global Social Innovation Challenge, Idea Labs, Faculty Enrichment Seminars and other CPC programs and events. Develop and coordinate digital marketing and campus engagement strategies to market events, maximize outreach and generate target audience. Plan and deliver classroom presentations and promotional activities. Lead campus student advisory committee, serve on the Changemaker Hub Core Group, and liaise with student organizations to co-create ideas, build strategic partnerships and promote the CPC. Provide administrative and budgetary support and perform other duties as requested. Receives supervision from the Assistant Director, Center for Peace and Commerce. This position supervises graduate and other student workers, interns and volunteers.
Event Planning and Production
In coordination with the Assistant Director, plan and implement all aspects of the Global Social Innovation Challenge (GSIC), Idea Labs, Faculty Enrichment Seminars and other programs and events.
Serve as the primary contact and planner for all CPC campus based programs and events. Liaise with speakers, faculty, staff and the public to promote, educate and respond to questions.
For the GSIC, lead coordination of Competition Management including pre and post event administration, website maintenance of Rounds 1 & 2, judging process, and submission platform.
Develop planning calendar, select and schedule event space, food and beverage, decor, supplies, audiovisual and other equipment and services, photography, parking for external guests, signage, etc.
Coordinate judges and speaker invitations and schedules, honoraria, travel, lodging, meals and expense reimbursements. Provide speakers with expense reimbursement policies and procedures.
Coordinate and train staff, students and volunteers working at events.
Serve as day-of event contact and be present throughout the event.
Ensure all rooms and services have been set-up and delivered accordingly.
Register and direct attendees; distribute materials, direct speakers, etc.
Perform post-event follow-up such as:
Coordinate with ITS and audiovisual technicians to obtain and post event audio recording and/or video footage to the appropriate web pages.
Coordinate with photographer, videographer, catering and other vendors.
Update event registration and web pages as needed.
Coordinate speaker and other thank you notes.
Other related duties, as assigned.
Marketing and Engagement
Collaborate with Kroc School and School of Business marketing teams to develop and then implement strategies for marketing and engagement to market events to maximize outreach and generate target audience.
Lead a student advisory committee to co-create ideas for CPC activities, liaise with other student groups (i.e. Net Impact, etc.), and promote events and activities with CPC related student and faculty groups (i.e. Sustainability Initiative, etc.).
Serve on the USD Changemaker Hub core group to ensure strategic positioning and build campus strategic partnerships.
Plan and deliver classroom presentations, promotional activities, cross-campus communications and marketing, procurement of promotional materials
Draft, create and distribute invitations, marketing, and program materials (flyers, posters, brochures, signage, event program, etc.) following USD branding guidelines. Coordinate with graphic designers and other vendors as required.
Draft and submit calendar notices for USD web pages and external sites, and update web pages as needed to promote event.
Promote events using social media, e-newsletters and other communications.
Manage online registration system and follow-up with internal and external guests.
Other related duties, as assigned.
Administrative and Budgetary Support
Prepare expense reimbursements and track expenditures.
Draft various communications and reports.
Organize and maintain program files and sample materials.

Two to three years of experience in project management and coordinating special events.
Demonstrated problem solving, organizational and analytical skills.
Demonstrated initiative and experience independently managing complex projects with minimal supervision.
Possess skills of tact, poise, diplomacy and hospitality.
Computer fluency and proficiency in the use of internet, databases and Microsoft products (Outlook, Word, Excel, PowerPoint).
Experience using or managing CRM databases (data entry, creating queries, producing reports, mail merges, training users and troubleshooting).
Experience with Adobe Cloud software.
Experience in the professional use of social media (Twitter, Facebook, Instagram, etc.) and web content management system (Cascade).
