Position is primarily responsible for project management for a broad range of activities supporting the PET-RTRC Director in the overall PET-RTRC operational management. Key activities include assisting with the management of: budgetary and scientific progress tracking in adherence to NIH guidelines, production and maintenance of institutional and federal regulatory documentation, preparation of an annual report, communications with off-site collaborators, and organizing and overseeing an annual scientific meeting and a seminar series.� In addition, the position will provide guidance and assistance with selected pre-award submissions for MIR Research Faculty.
PRIMARY DUTIES AND RESPONSIBILITIES:
Assist the Program Director with the following:
Provides the 3 research projects and 3 cores of the PET-RTRC with the necessary administrative and budgetary support to ensure success. Facilitates communication across the various PET-RTRC components both within and outside the university.
Annual Meeting Planning (Washington University) – organizes location space and schedule for 3-day meeting, travel and lodging for 35-50 attendees; invites scholars and guests; plans and develops agenda for meeting.� Plans a 2-day imaging training course in conjunction with the annual event.
Annual Federal Progress Report – develops schedule and deadlines, monitors deliverables from approximately 20 Investigators, and coordinates and verifies collection and compilation of various report components for electronic submission.
Assists with development of agendas and preparation of minutes for executive council meetings to help execute assignments in prescribed schedules/timelines.
Selection of collaborative and service projects for the PET-RTRC – develops selection timeline; coordinates electronic application submission, reviewer assignments, and review sessions; manages submission data and application scoring.
Liaises directly with the funding agency to address questions and resolve discrepancies.
Facilitates the submission of key regulatory documents for research approvals from institutional (e.g., to IACUC and HRPO) and federal (e.g., FDA) regulatory bodies.
Assists with coordination and support of PET-RTRC special events on an as needed basis.
Serves as the point of contact for all inquiries regarding the PET-RTRC.
Budgetary Tracking and Data Management
Post-award management: provide expert guidance and primary administrative support to the PET-RTRC Investigators; develops, monitors, analyzes, manages and reports project budgets and develops budget projections; monitors all expenses and effort sourcing across multiple projects to guarantee adherence to award specifications.
With guidance from the PET-RTRC Director, ensures tracking and evaluation objectives of the PET-RTRC and evaluation research objectives integral to the Center’s success are achieved; assists PET-RTRC Director in understanding and evaluating processes related to evaluation established milestones and PET-RTRC requirements.
Assists with analyzing program-level data for annual progress reports.
Tracks publications resulting from PET-RTRC Investigators, including performing SCOPUS/PubMed searches, contacting/educating PET-RTRC Investigators regarding adherence to policies, maintaining a tracking database, and developing reports.
Obtains and processes consultant agreements and coordinates all travel arrangements for offsite PET-RTRC members.
Maintains tracking documents of activities noted above and provides status reports as required.
Marketing and Communications
Assists the PET-RTRC Director in the development of marketing and communication plans for the PET-RTRC program and orchestrates their execution through both existing and newly developed PET-RTRC communication channels.� Will require travel to 2-3 scientific meetings per year to staff the PET-RTRC information booth.
Manages the PET-RTRC homepage and website designed to disseminate information and promote interaction between PET-RTRC members as well as the scientific community at large.
Assist MIR Radiological Science� Faculty with the following:
Ensures the optimization of funding opportunities:� monitors potential grant and educational opportunities, assists leadership in identifying qualified PIs, distributes notifications to and collects responses from candidates.� Develops and manages the database of opportunities, candidates, submission dates and other deadlines.
Maintains and updates the central repository of Radiological Science faculty Biosketches as well as the Resource and Environment of all MIR facilities, MIR laboratories and any facility in the WUSM complex referenced in grant submissions.
Interprets the application, agency and institutional requirements of funding opportunities and provides guidance to Radiological Science PIs on fulfillment.� Reviews and edits proposals to ensure requirements are met.
Prepares the applications’ common elements such as Biosketches, Resource and Environment, resource sharing plan, equipment and planned enrollment documents.� Also facilitates budget preparation and writing of Budget Justifications and gathers letters of support.
Master’s degree preferred.
3 years of related experience in a large academic and medical research department.
High level of proficiency with Microsoft Office; strong analytical and organizational skills with attention to detail; ability to understand and interpret Federal Grant policies and requirements; capable of conveying professionalism and building and sustaining strong working relationships with internal and external contacts; ability to manage multiple priorities and meet deadlines; demonstrated ability and expertise in handling varied aspects of project management; strong critical thinking and problem solving skills; ability to exercise discretion and independent judgement; excellent verbal, written, and interpersonal skills.
Equivalent of a Bachelor’s degree with at least 3 years of related experience.
This position is full-time and works approximately 40 hours per week.
