Works closely with the Assistant Director and Director to manage Center-wide budgeting including: •Liaisons with Student Affairs Financial Analyst to determine Center-wide fiscal priorities and set Center budget in Cal Answers •Creates budget forecasts in partnership with Student Affairs Financial Analyst •Cross-references Center actuals with forecasts to determine budget modifications and to guide future budget planning •Designs and executes fundraising plans including crowd-funding campaigns to support Center programs and the Big Give donor solicitation campaign •Manages donor communication in relationship to campaigns including solicitation and thank you correspondence
Manages financial partnerships with Financial Aid, Sponsored Projects Office, and Contracts and Grants Administration, including: •Serves as liaison to Financial Aid to track all student Work Study expenditures and ensure funding sources are billed to proper federal programs of America Reads and America Counts •Requests payroll expense transfers as needed and coordinates communication between Financial Aid and Student Affairs •Tracks Center Work Study spending and requests budget allocation in cooperation with Financial Aid and the Office of Local Government and Community Relations •Develops and prepares budgets and financial reports for funding which may be complex •Oversees submission of grants through Sponsored Projects Office and shepherds awards through Contracts and Grants Administration •Tracks grant reporting and manages the submission of grant budgets and financial documentation •Ensures all grant and contract submissions follow University protocol and are submitted in a timely manner with appropriate approvals •Manages Center wide award processes and information systems •Coordinates the nomination and selection processes for awards including several student scholarship pools and the suite of Chancellor’s Awards for Public Service. •Researches Salesforce best practices, and works in partnership with Salesforce and PSC staff, to design fields, layouts, and reports that best meet the data management needs of Center staff •Assists in the design and implementation of organizational communications including website content; newsletters and correspondence to organizational constituents
Supervises the Administrative Assistant III who in turn supervises a small team of Work Study students who manage the office’s front desk. Ensures the AAIII and student team are successful in executing office operations, including: •procuring supplies •coordinating center-wide events •communicating with SAIT on technology needs and with the ASUC on space needs and/or emergency preparedness •managing the Center’s website, and updating the Center-wide database •processing invoices and reimbursements and reconciling financial records
Coordinates and participates in a variety of human resources activities including employment training as required and ensuring the completion of forms and documents related to HR and Payroll for unit/department: •Represents the Center on division committees and/or work groups •Participates in weekly Center-wide staff meetings, occasional staff retreats, and divisional meetings as required •Coordinates hiring of professional staff for the Center including organizing review process and hiring committees•Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, account and fund management, personnel management. •Thorough knowledge of financial analysis and reporting techniques, human resources policies and procedures for staff and academic employees. •Knowledge of a variety of administrative operations activities such as events planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines. •Knowledge of common University-specific computer application programs. •Interpersonal communication skills to include verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills. •Strong skills in short term planning, analysis and problem-solving and customer service.
Education/Training: •Bachelors degree in related area and/or equivalent experience/training
