This position will provide day-to-day execution and oversight of payroll activities, including but not limited to, appointment entries, time and absence administration, bi-weekly payroll reconciliations and resolving payroll issues. The HRMS/Payroll Lead will build effective relationships across the college and with central Office of Human Resources; possess effective communication and project management skills; and have a positive disposition with an affinity for working through challenging system and people issues. This position will also be responsible for pulling HR data/reports to inform workforce management decisions by leaders across the college and advise the HR Director on organizational trends.
HRMS Lead (50%)
Develop best practices, process improvements, training, and documentation to ensure flawless execution of payroll and HR processes; and data integrity
Identify and create HR data reports (e.g. workforce demographics, hiring trends) to inform leadership decisions on workforce planning
Develop and communicate college-wide plan for timely execution of high volume appointment entries for summer, fall, and spring appointments
Establish and direct work plans for payroll staff
Investigate and resolve highly complex appointment, payroll, and data record issues
Serve as HRMS Key Contact to oversee all HRMS access requests and collaborate with department administrators to create and facilitate end user training, including creating job aids, procedure documentation and process maps with a focus on efficiency for all HRMS partners.
Prepare and maintain standard and ad hoc reports, and conduct appropriate audits to ensure HR data integrity and reconciliation of all HRMS data and year-round HRMS activities
Run regular college reporting related to HRMS data to analyze payroll trends, identify errors, troubleshoot anticipated problems and assist with business unit reporting needs
HRMS/Payroll and Records Management (40%)
Execute and oversee the timely and accurate entry of new hires, terminations, resignations, pay rate changes, leaves of absence and other updates in HRMS while adhering to employment terms and conditions for new, current, and terminated employees in accordance with University policies, employment laws, and labor contracts
Responsible for tracking various types of appointments and changes for reporting purposes (e.g. phase retirement, new faculty hires, retention offers, salary augmentations)
Run reports and queries to ensure accurate job data records for all employees; correct records as needed
Research, analyze, resolve and manage sensitive employee payroll discrepancies, such as under or overpayments, and reconcile issues; and job data records
Process position management requests and advise departments on position management guidelines and resources
Create, maintain, and update HRMS and payroll webpages on the College's intranet site and draft updates for weekly College-wide email updates
Serve on committees and workgroups relevant to HRMS and payroll
BA/BS degree in Human Resources or related field; or a combination of related education and professional HR work experience to equal 4 years
Work experience must include at least 2 years of processing payroll for 200+ staff
Proficiency in Microsoft Office
Demonstrated experience with PeopleSoft or other Human Resource Management Systems
