The Research Project Coordinator directly supports the Office of Research Development (ORD) and the Office of Research Integrity (ORI). The Research Project Coordinator needs an in-depth understanding of departmental issues and how they support the University, department directors, staff, faculty and other constituents with whom the department interacts. The Research Project Coordinator pro-actively organizes schedules and manages various administrative functions including ORD events, meetings, website revisions and written materials preparation. He/she will assist the Director of Research Integrity with discrete deadline-driven projects, will provide administrative support for research integrity related Committee/Board meetings, and will help organize and support larger-scale training. The position works closely with the Assistant to VP Research/Administrative Manager and serves as backup support to the VP of Research (VPR) and the Associate Vice President for Research.
Provide high level support assisting the Office of Research and Development
Supporting Actions: Assist with preparation, announcement, and processing of external limited submissions and internal OVPR funding competitions. Proactively research timely opportunities by tracking funding databases, sponsor communications, and other sources. Draft funding opportunity communications and update corresponding webpages. Prepare distribution lists from Filemaker database. Assist in faculty reviewer outreach and selection meeting preparations. Assist with notifications and feedback for faculty applicants from internal review processes. Calendar management, meeting/event preparation (catering, media services, conference calls, coordinating travel, meeting materials) and distribution of meeting materials in advance. Handle time-sensitive and confidential documents appropriately. Answer phones and direct callers to the appropriate staff or department. Assist ORD staff with document management and departmental correspondence. Maintain and update ORD website and shared digital resources such as funded proposal library. Create and maintain database of prestigious nominations opportunities and ORD interactions with faculty and internal funding awards.
Provide support for Director of Research Integrity
Supporting Actions: Board/Committee meeting support, including arranging meeting space, catering, media services, and preparation/delivery of materials; support for larger-scale faculty/administrative training sessions (i.e., export control compliance workshops) and other ORI outreach activities. Assist with discrete, highly sensitive, deadline-driven projects. Conduct data cleaning and record management to support ORIâ™s transition to a paperless office. Draft business process documents/SOPs for new processes implemented following electronic system conversion and in response to evolving federal regulations. Requires a high level of discretion in handling very sensitive documents and confidential information, as well as the ability to work independently on assigned projects.
Main backup for Assistant to VP Research/Administrative Manager to the VP of Research (VPR) and Associate Vice President of Research.
Calendar management, liaison between VP/Assoc. VP and his direct reports. Ensures a high level of support to all callers and visitors including faculty, staff, department managers, collaborating institutions and the general public.
Bachelor's Degree with 2-4 years relevant experience, or the equivalent combination of education/work experience
Excellent organizational skills and demonstrated ability to work independently with little direct supervision
Excellent oral, interpersonal, and written communication skills.
Proficient computer skills - Word, Excel, and PowerPoint, website updates and calendaring
Filemaker knowledge is a plus
Demonstrated ability to multi-task and prioritize concurrent activities with multiple interruptions
Effective problem-solving skills; works well in a team environment
Knowledge of Federal research compliance requirements and the university research environment is a plus
