Position Summary: Reporting to the Senior Executive Assistant in the Office of the Provost and Executive Vice President, the Administrative Specialist serves as the expert for the institution with regard to the following scope; creating and managing official and confidential records, managing university faculty appointment requests and documents, strategic hiring plans, the faculty compensation model, appointment approval queues, and data entry and database management. The position is also involved in the daily operations of the office, coordinates delegated tasks, and assists with special projects. This position coordinates records of official citation for faculty and is a member of the collaborative shared services staff team in the Office of the Provost and Executive Vice President. The successful incumbent must be proactive, detail-oriented, accurate in entering data, and able to analyze and resolve complex situations and tasks with delegated authority to implement on behalf of the Provost and Executive Vice President. Work and information handled is of a nature regularly requiring confidentiality and the exercise of discretion. The office has a high volume of work flow and is intensely fast-paced.
At least four years experience working in an academic environment or executive office monitoring record systems, entering data, and experience approving record transactions. Experience interpreting, applying, and explaining complex information such as regulations, policies, processes, and guidelines for highly specialized processes and/or programs. Demonstrated ability analyzing information, researching a variety of sources to identify and solve problems, errors, or issues. Experience creating and providing detailed and complex reports for decision making purposes. Experience entering and retrieving data using computerized record systems and best record retention practices. Intermediate working knowledge of office equipment and computer skills using Microsoft Outlook, Word, Excel, PowerPoint, Adobe, Stellant, Banner and/or other similar programs and computerized record systems.
Experience in project management and tracking workflow functions. Ability to take initiative to plan and complete assigned work with a high level of accuracy. Knowledge of personnel and academic processes, rules and regulations. Experience handling confidential information and using discretion when handling highly sensitive information.
Physical Requirements & Working Conditions: This position may require long periods of sitting, standing, and ability to lift, carry or otherwise move objects weighing up to 25 pounds.
