Advertised Summary Job Description: Reporting to the Director of Events Management, the Associate Director is responsible for leading the planning and implementation of a broad array of internal and external facing non-academic events in the following areas (as assigned): Academic Affairs (i.e. masters and non-degree programs), Student Affairs (i.e. Student Life and Career Design Lab); External Affairs (i.e. Alumni Affairs and Development); and the Office of the Dean. The Associate Director will plan, organize and execute activities related to SPS events and programming, creating an optimal client experience through high-level customer satisfaction. S/he will develop and implement event strategies that support SPS brand growth and reputation, often in the context of complex, high-profile, and high-impact activities. S/he will act as project lead of the event planning and implementation pipeline while working closely with relevant partners, vendors, and high-level external stakeholders. Depending on the event, responsibilities may include, but are not limited to: assisting stakeholders in strategic development of event experiences and frameworks; leading SPS signature event planning committees; leading cross-departmental event planning activities and deadlines through the use of project management tools and templates; full spectrum event preparations and implementation, including utilization of event software for event execution; development of budget estimates and reconciliations; and reporting on event data as required. S/he will supervise Assistant Directors and Event Coordinators?highly visible event professionals who interface with all areas of the University and regularly interact with influential external audiences?who support the management and/or implementation of all events in the planning pipeline. The Associate Director will also support strategic research, planning, and reporting (annual and ad hoc) related to event activities and the team's operating framework, as well as lead the development and integration of necessary technologies.
General Minimum Qualifications: Bachelor's Degree or equivalent required. A minimum of 4-6 years of related experience required.
Additional Specific Minimum Qualifications: - Experience leading cross-functional planning teams. - Demonstrated ability in strategic thinking and operational excellence. - Excellent interpersonal, oral and written communication and organizational skills required. - Exceptional attention to detail and the ability to perform non-routine work with changing priorities and collaborating parties. - Demonstrated ability to with executive level stakeholders. - Project management experience and familiarity with project management systems. - Experience handling, prioritizing and executing multiple projects accurately and provide high-quality results while maintaining a high level of customer service and professionalism in a fast-paced environment. - Computer literacy including proficiency in word processing, spreadsheets, Google Suite, and email required. - Weekend and evening work required. - Domestic and International travel required. - Proven ability to independently work offsite, remotely, and must be able to travel.
Preferred Qualifications: - Experience handling, prioritizing and executing multiple projects accurately and provide high-quality results while maintaining a high level of customer service and professionalism in a fast-paced environment. - Experience in project follow-through, from conception to completion. - Self-directed and motivated. - Ability to change direction with skill and willingness when circumstances demand. - Ability to anticipate event needs and respond accordingly. - Ability to effectively communicate (both verbally and in writing) and collaborate with a diverse group of people serving in a variety of job functions. - Familiarity with social media outlets and strategy, as well as brand management. - Ability to develop strong relationships with both internal and external partners. - Ability to manage a team.
