The Coordinator, Space Planning position provides support and coordination for space planning, designing, implementing, supporting, and monitoring complex departmental and enterprise projects for the Facilities Management Department. The position also manages the calendar scheduling for all planning meetings. The position will conduct research, support the development of planning processes, guidelines, manuals, assist with space planning projects including benchmarking best practices, drafting design principles, will also provide staff support on key planning efforts and will have duties for those assignments which will include preparing agendas, attends meetings, takes notes and tracks and follows up on action items of those meetings. Planning will be in Administrative areas. The Space Planning Coordinator coordinates the logistics of office moves, including coordinating furniture, telephony, networking, access control, etc. and works with the affected departments to communicate all aspects of the move.��
PRIMARY DUTIES AND RESPONSIBILITIES:
Provides support for the preliminary and conceptual planning and programming as well as estimating facilities and planning projects of a complex nature, including coordinating the space and physical planning for WUSM facilities as well as development of space plans to accommodate staffing and business requirements.
Manages the calendar scheduling for all planning meetings, including those related to Medical Education.
Works closely with FMD project personnel and other members of the team to develop detailed specifications, documents and supports clear project deliverables and timelines.
Prepares agendas, attends meetings, takes notes and then tracks and follows up on action items.
Coordinates the logistics of office moves, including coordination of furniture, networking, access control, etc. and works closely with departments to ensure timely communication.
Communicates with management team regarding efficiency and accuracy as well as any progress and/or delays.
Performs other duties as assigned.
Bachelor’s degree plus a minimum of 1 year of relevant experience required.
At least 2 years of facilities management experience with planning or communications background preferred
Ability to interpret and communicate to others complex policies and procedures; effective written, verbal, and interpersonal communication skills
Demonstrated experience working in large highly structured team environment
Ability work independently with a high degree of reliability, accuracy, and productivity
Demonstrated ability to maintain harmonious working relationships and effectively address complex and sensitive issues
Ability to exercise independent judgment effectively in decision-making processes
Demonstrated experience handling multiple assignments with critical completion goals
Computer proficiency in spreadsheets, word processing and databases in a Windows environment
Planning and Organizing: Ability to organize and follow complex and/or detailed technical procedures and communicate those concepts to technical and business resources; provides detailed and complex recommendations
Project Management: Ability to manage multiple complex projects
Technical Knowledge: Competent to work on general database systems with a focus on (but not limited to) knowledge and experience in working with databases and creating reporting in related and assigned applications
Consultancy Skills: Ability to consult with clients and higher-level technicians and analysts to resolve technical and engineering/planning-related problems and ensure client satisfaction; ability to interact with client to discuss alternative technical solutions
The hiring range for this position is $18.80 - $23.99 per hour.
