The Administrative Coordinator in the School of Pharmacy assumes primary responsibility for administrative activities and special events in the Office of the School Dean, working daily with the dean on school priorities and initiatives. The Administrative Coordinator proactively manages and anticipates the flow of the dean’s work, sets priorities, and works efficiently and with great attention to detail, ensuring that work is planned and executed smoothly and in a professional manner. This position will communicate professionally and effectively on behalf of the dean, managing relations with key constituents, including faculty, college and university administrators, alumni and donors, external leaders and colleagues, accreditation contacts, and other strategic partners. The Administrative Coordinator supports advancement activities of the dean through tracking in Sales Force, travel and calendar arrangements, managing invoices and reimbursements, preparing correspondence, providing project support, and archiving/maintaining/reporting data. The position will be responsible for key initiatives related to publicity and promotion of the school, to include original writing for the publication of the school newsletter, and management of social media accounts. The Administrative Coordinator will direct and coordinate all aspects of the school's major events, overseeing discretionary budgets and expenses for these functions, and implementing all related activities. Schedule flexibility is expected; occasional evening or weekend coverage is required. This position is responsible for developing effective systems to manage the dean's administrative needs, and will frequently handle sensitive and confidential information where judgment and discretion is required.
Bachelor’s degree with a minimum of 3 – 5 years of progressive administrative experience required, preferably in higher education or executive setting. Excellent verbal and written communication skills, to include experience with original writing (e.g., news articles). Critical thinking skills, project management ability, and attention to detail required. Must have excellent computer skills including proficiency in MS Office Suite, Outlook email, spreadsheet, Adobe software (publisher/photo shop) and website software (Word Press a plus). Individual must have strong organizational, communication (both oral and written), and interpersonal skills. Must be accurate and detail-oriented, able to understand complex material, and must be able to work with confidential information and prioritize tasks and demands. Must be self-directed and follow through on tasks independently with great attention to detail. Must possess a thorough knowledge of professional office procedures, good judgment, discretion and problem solving skills. Must effectively multitask in a fast-paced busy office and have a strong customer service orientation.
