Reporting to the Chief Information Security Officer (CISO), the Information Security Coordinator will provide support and overall coordination of cyber and information security training, department project tracking, and will provide administrative support for the Information Security Office (ISO). The position will be responsible for coordinating and promoting various training, awareness programs and ensuring excellent communication outreach to the campus. Responsible for administrative duties relative to office operations, compliance, human resources, budget management. Tracks the status of projects and issues on behalf of the CISO.
Training and Awareness Coordination: Assist the CISO with administering university-wide information security training. Assists with the assembly or acquisition of information security awareness materials for different levels of expertise as well as responds to requests for customized training classes for departments. Acts as the liaison between ISO and UTA organizations. Tracks compliance to institution-wide information security training mandates. Represent the ISO by manning booths/tables at institution events. Ensures that the information security website and social media is current. Ensures quality communication with particular attention to grammar, spelling and messaging. Administrative Functions: Relieves the CISO of internal administrative duties and some decisions which require a thorough understanding of the functions, programs and policies of the University. Maintains and reconciles departmental accounts, prepares the departmental budget, coordinates travel and prepares vouchers for payment or reimbursement. Maintains time leave usage, employee records, worker's compensation, training and annual appointments for the organizational unit. Reviews and approves documents including purchase orders, vouchers, petty cash, deposits, transfer of funds and other departmental expenditures. Records time and attendance on behalf of the CISO. Coordinates meeting locations, meals, attendance records and records meeting minutes. Department Compliance Liaison: Serves as point of contact for institutional requirements for which the ISO needs to comply, including serving as Records Management Coordinator, Emergency Management Coordinator, Department Safety Officer, Space Management contact, Key Management contact, Department Asset Inventory Manager, etc. Project Tracking and Coordination: Tracks various projects initiated by ISO or for which ISO is a key participant. Works closely with designated ISO project manager to prepare comprehensive action plans, including resources, timeframes and budgets for projects. Perform various coordinating tasks, such as scheduling meetings and maintaining project documentation. Provides status to the CISO. Customer Service Level Management and Issue tracking: Ensure that all customer requests or incident reports are tracked and handled by ISO staff. Ensure acknowledgement of requests and assists the CISO by follow up with ISO staff to ensure open issues are resolved in a timely manner. Provides feedback to the customer if any delays are anticipated. Escalates unresolved issues to the CISO. Other duties as assigned.
Bachelor's degree with a minimum of 3 years administrative or training experience. High school diploma a minimum of 5 years of increasingly responsible administrative, secretarial or clerical experience with one year of experience coordinating training programs, will be considered. Must possess excellent customer service, organization, written and oral communication skills. Ability and willingness to learn new technology. Proficient in MS Office applications (Word, Excel, Outlook, etc.).
Ideal candidate must be willing to work in a fast-paced environment where priorities shift, must maintain consistent excellent customer service and a collaborative team atmosphere. Training, marketing or communications experience a plus. Experience with PeopleSoft HCM/FIN a plus. Experience working in a UT System Institution, a plus.
