Summary: This position is an important part of the Research & Prospect Management team and is responsible for coordinating activities across the department by performing a wide range of duties to support research, prospect management and fundraising for University Development, Arts and Sciences, and the six additional schools the team supports. These activities include acting as the unit owner of a high profile annual project completed within a File Maker Pro database, working closely with the Events team on the creation of business process, management, maintenance and delivery; prospect management data and reporting responsibilities including data audits and quality control, mass updates to Advance, and production of portfolio slides and reports to demonstrate progress; acting as a liaison to staff assistants across FAS and beyond to answer their questions concerning proposals, assignments, data entry, lead tasks; researching and updating the $10M+ gift list for senior staff; and hiring and managing our student worker. This position also independently manages the day to day relationship with University Archives for purposes of offsite storing, maintaining and transporting historical paper files; researches, maintains, analyzes and distributes a list of large philanthropic gifts nationwide; maintains office-wide subscriptions and performs additional administrative tasks as needed. Conducts basic research using the Internet and specialized fee-based research tools. S/he works independently, with minimal supervision, in a fast-paced work environment with multiple and changing priorities. S/he anticipates and resolves problems, thinking creatively to assist in developing internal strategies to accomplish office-wide, management-driven goals.
Duties and Responsibilities: Completes projects, produces reports, manages calendaring and provides support as assigned by the Director and Managing Director, involving productivity metrics, analysis; assisting in communication, adhering to timelines, engaging appropriate staff, and ensuring proper follow up.
Serves as the unit owner for all aspects of collecting and maintaining Honor and dinner biographies, coordinating with Events staff and Alumni & Donor Services, creating the most efficient business processes to meet the needs of all interested units.
Coordinates with frontline fundraisers and staff assistants, with oversight of the Prospect Management team, to ensure consistent application of prospect management policy. Assists in training of officers and staff assistants on prospect management policy and its application in the Advance database.
Manages and updates the $10M+ gift list, sharing it with senior staff on a monthly basis and providing additional ad hoc analysis as requested.
Master current FAS Prospect Management business process, update as directed, and participate in the development of new processes as requested by schools we support.
Conceptualize and create presentation materials for managers.
Responsible for administrative tasks including calendar management, processing vendor bills and tracking staff memberships to professional organizations.
Designs, organizes and implements administrative systems and procedures necessary to support duties, maximizing use of technology available.
Cultivates favorable relationships throughout University wide AA&D. Must be collaborative, conscientious and results-oriented. Must have the ability to think strategically and manage multiple projects simultaneously and independently.
Hires and manages up to two student workers.
Serves as a liaison to staff assistants for ad-hoc prospect-related projects as assigned such as prospect pool and giving analyses.
May perform other related job duties as required.

Minimum of one year of office or related experience.
Must possess strong computer skills including Excel, including v-lookup, formulas, pivot tables, charts, macros, and large data sets and PowerPoint required.
Experience with project management preferred.
Knowledge of relational databases such as File Maker Pro and ability to perform internet research.
