The Business Operations Assistant will support data projects and business process needs within the HBS Initiatives Department. Supporting the department through data accuracy, process improvements and overall change management, (s)he will report to the Manager of Technology and Business Operations, Initiatives.
Job Duties The use of Salesforce CRM, Silverpop/IBM Marketing and a variety of Microsoft Office Tools will be integral to accomplishing the day-to-day tasks of Business Operations within HBS Initiatives. Specific responsibilities include but are not limited to:
Data Research and Updates -Review new Alumni affiliation records, confirm accuracy and provide updates in Salesforce -Contribute to large BEI Alumni project- researching Alumni Affiliations -Data cleanup and preparation; working in Excel with a great attention to detail -Salesforce Organization hierarchy and merging -Researching company/organization relationships and identify appropriate updates for Salesforce
Salesforce Data Quality and Weekly Monitoring -Monitor and update Events data -Facilitate event data accuracy across the various Initiatives events -Update contacts not in Campaigns -Work with each Initiative to confirm desired outcomes for each event contact update -Data quality check for Email Subscription preferences -Identify duplicate records that can be merged (Contacts and Organizations)
Marketing Tools -Silverpop/IBM, Marketing Analytics -Audit mailing reports and templates synchronized with Salesforce -Master Suppression List: Identify contacts in Salesforce and research any possible updated emails

Three or more years of related experience. Education beyond high school may count toward experience.
This position requires a self-starter with excellent organization, project management, communication, and interpersonal skills. Demonstrated experience in data management and systems implementations; familiarity with Salesforce.com implementations a plus. Strong problem-solving skills, attention to detail, and customer service skills are essential. Requires a high-level of comfort in using and learning technology to support complex administrative and data management functions. The ideal candidate will demonstrate excellent interpersonal and communication skills (both oral and written) along with a problem-solving orientation; possess superior maturity, professionalism, and judgment; and be able to perform under minimum supervision.
