The grants management team within OCGA provides the centralsupport to the universities research community for all financial managementaspects including compliance as it relates to externally sponsored projects.This includes the setup and maintenance of key award date within Oracle Cloud,financial reporting responsibilities, invoicing and payment receipt forsponsored programs. In addition the OCGA grants team coordinates and overseesfinancial compliance items and audits related to sponsored programs for thewhole institution.
The Grant Staff Accountant is part of the OCGA Grants ManagementTeam at Vanderbilt University and is a key individual contributor responsiblefor the oversight of the day-to-day billing function for sponsored programs,managing retro-active salary requests and monitoring effort reportingcompliance. This position will report directly to the Director of OCGA. TheGrant Staff Accountant will be interacting with business leaders in the schoolsand external sponsors on a regular basis on behalf of OCGA.
Perform professional work requiring advanced application and useof concepts, theories, principles, practices, regulations and terminology ofaccounting. Analyze and review financial data and prepare reports for bothinternal and external purposes consistent with a comprehensive understanding ofInstitutional mission and vision, the role and goals of the business unit andconsistent with an understanding of accounting in accordance with GAAP,applicable regulations, and University policies and procedures. Guidelines andprocedures are established on a global basis and an advanced level ofprofessional judgment is required.
Duties and responsibilities
Prepare, analyze and review sponsored program reports for both internal and external purposes in accordance with government regulations and requirements.
Evaluate, approve and provide accounting expertise in treatment and reporting of transactions on sponsored contracts and grants for all university departments. Provide accounting expertise in treatment/classification of projects for direct cost accounting and financial statement purposes as well as ensuring that indirect costs are accurately calculated and properly reported on sponsored projects for billing purposes.
Complete complex reconciliations of unique data requiring expertise and understanding of multiple transaction sources. Examples include: Reconciliations of the sponsored projects revenue and expenditures on the general ledger, F&A reconciliations, institutional cost sharing, equipment reconciliations, letter of credit reconciliations for federal agencies, etc.
Coordinate and complete special projects. These projects require an understanding of financial and non-financial systems, effective project management skills, and the ability to develop and maintain working relations with various departments and excellent oral and written communication skills including the ability to develop and conduct training sessions. Specific examples include: preparing management reports on various topics related to sponsored programs, reviewing cost information with departments related to sponsored programs, preparing special financial reports for sponsoring agencies, overseeing and coordinating billing activities and adhoc special reporting, etc.
Format, design, and prepare highly technical, complex financial reports and schedules for the needs of various internal and external users. Examples include Agency Specific Reports, Federal and Non-federal Financial Reports, etc.
Identify processes needing improvement and participate in the documentation, communication and implementation of the improvements.
Bachelor's degree from an accredited institution of higher education in business or a related field
1 - 2 years of relevant work experience in a complex financial environment is required
Comfortable with current technologies in systems to enable a quick mastering of Oracle Cloud PPM
Utilize very advanced functions of accounting software (Excel), database software (Access) is required
Knowledge of accounting principles is required
