Provides administrative support to the Associate Dean for Academic Programs in the College of Communication and Information. Responsibilities include performing routine clerical duties for the Associate Dean, as well as managing day to day activities of student workers. Will work with Dean and other faculty/staff within the College to maintain accurate tracking and reporting of faculty performance and degree completion requirements for both undergraduate and graduate students. Provide communication and outreach support to schools regarding special events and programs hosted by the College.
Support Associate Dean in routine clerical duties such as answering phone, welcoming visitors to office, scheduling, photocopying syllabi, tests, and course materials, budgets, book orders, faculty travel and graduate student travel.
Manage day-to-day activities in the office in the absence of the Associate Dean, responsible for supervision of student workers.
Academic Program information - maintaining accurate information on major requirements, progressions, advising, updating documents, ordering printed information, etc.
Enter IRIS paperwork for faculty and graduate students' reimbursement and office supplies.
Manage distribution, collection, and reporting of evaluation projects led by the Associate Dean. Implement efficient programs for record keeping, including digitizing student records.
Utilize information systems (IRIS, GradesFirst, Banner, Argos, SharePoint, ADMIT, etc.) to perform responsibilities of the office.
Special projects as directed including graduation, advising meetings, and other College projects.
Collaborate with administrative staff across the College as needed for special events.
Process graduate student applications and provide support for the process including sending acceptance letters.
Work with Associate Dean on Semester Enrollment Reports; maintain accurate system for keeping track of reports
Respond to administration, faculty, advisor requests for data/lists. Ensure accuracy in information being given.
Student Communication - maintain student email lists; communicate information to students regarding class registration, scholarships, etc.; compile information to distribute to students as needed
Utilize student information systems (GradesFirst, Banner, NOLIJ, Argos, Blackboard).
Primary assistant for Associate Dean regarding data and reporting requirements.
Reconcile dean's office p-card purchases
Develop memos/signage/flyers for College needs.
Develop stock answers to common email questions.
Maintain accurate listservs and responding to (or directing) general inquiries.
Update information on CCI Graduate Studies website
Assist with writing and posting relevant content to College social media vehicles such as Facebook, Twitter and others.
Maintain, update, and utilize College alumni lists.
Coordinate CCI Dean's Office Annual Leave and sick leave accounting.
