The State Managements Affairs Coordinator will provide project coordination as well as administrative support for the Senior Director, State Management Affairs with special emphasis on coordinating the activities related to the electoral process and organizational assistance and funding for state associations while maintaining an extensive knowledge of the organizations policies and procedures. The State Management Affairs Coordinator is also responsible for coordinating other AANA activities that provide services to state associations.
MAJOR DUTIES AND RESPONSIBILITIES
Coordinate and implement the annual electoral process project plan with the Senior Director, State Management Affairs (i.e., assist candidates’ in the submission of candidates’ background information, coordinate with other areas candidates’ campaigning activities, ad space, e-blasts, candidate forum, preparation of ballot and candidates’ information and election results with election services coordinator, etc.).
Assist the Senior Director of State Management Affairs with staffing activities for the Nominating Committee, State Organizational Development Committee and other task forces as assigned. This includes preparing background documents for meetings/conference calls, preparation of draft minutes, preparation of draft executive summaries for BOD action and following up on action items as directed, preparing and maintaining the committees’ communities on the website, etc.
Coordinate the annual Organizational Health Allocation (OHA) and Borderline States’ Funding for eligible state associations with the Senior Director of State Management Affairs. Prepare communications, training and assistance to state leaders as necessary.
Assist the Senior Director of State Management Affairs with the review and preparation of applications for funding from the Strategic Reserve Fund (SRF). Track in detail all individual grants to State Associations, maintain the budget and process payments in accordance with each agreement.
Regularly communicate with state association leaders to maintain current state association leadership rosters and state association meeting dates and locations. Maintain accurate records in Aptify for all state association leaders and prepare annual membership dues revenue projections for each state association.
Prepare the electronic survey instruments for two major annual surveys using Vovici and coordinate the data collection and dissemination for these surveys with other areas as appropriate. Provide specific member survey information as requested by AANA members and staff and prepare slides with national and state specific membership data.
Process and maintain all invoices and payments to vendors for services provided to State Management Affairs. Maintain files and appropriate documentation for SMA activities as assigned and works with outside vendors when necessary to obtain information and in project coordination.
Maintain periodic communication with State Associations leaders to provide updates on organizational assistance available from the AANA.
Act as the Subject Matter Expert (SME) on Aptify and the web content systems for SMA.
Perform other duties as assigned.
KNOWLEDGE & SKILLS
At least five years related experience and/or training.
Demonstrated ability to work independently as appropriate, exercising sound judgment concerning when consultation with the supervisor is necessary.
Bachelor's degree from four-year College or university.
Qualifications & Other Skills:
Excellent communication skills, both written and verbal, to clearly and concisely communicate to all levels of the association
Highly proficient with Microsoft Office Suite (Outlook, Word, PowerPoint and Excel)
Experience with web surfing, web editing tools and Association Management Systems (AMS) software or Customer Relationship Management (CRM) software. Strong attention to detail

The AANA promulgates education and practice standards/guidelines and affords consultation to both private and governmental entities regarding nurse anesthetists and their practice.
