The Electronic Personnel File and I-9 project is a university wide initiative as part of the larger HR Service Delivery project. By moving personnel files and I-9 documents to OnBase, the university's electronic document management (EDM) system, it ensures a consistent, sustainable, secure and central location for official personnel records, reduction of university risk, and savings on both hours and materials from the current manual process.
Based on the scope of the project, the move from the current manual process to electronic, and the creation of a central process and storage of I-9 documents, the Project Manager will lead a team of student employees and work directly with HR personnel to clean files according to the draft revision of the personnel file records policy in order to ensure only the required documents are scanned and indexed into the EDM. The Project Manager will develop and execute a plan to incorporate all I-9 documents into the same electronic system. The Project Manager will need to establish strong communications and solid working relationships with an extremely diverse group of individuals and entities within the university to be successful in this role, as they will work with every unit on campus to clean files and prepare them for scanning. They will be responsible for following the guidelines and implementation plan set forth by the University for the transition from paper to electronic personnel files, and will be expected to be flexible and make continuous process improvement decisions the project progresses. The Project Manager will be responsible for successful and timely implantation of all university personnel records from paper to electronic. The project manager will collaborate and coordinate with an IT Project Manager to ensure a strong link between the technical aspects of the project and the business activities to review and move appropriate data in to the new system.
Bachelor’s degree, or an equivalent combination of education and experience; the successful candidate for this position will have demonstrated success in several areas, including: 1-3 years of experience in project management in a large organization; background or knowledge of immigration policy, practice and regulations, ability to adhere to deadlines and ability to prioritize and manage multiple assignments simultaneously; proven ability to build collaborative working relationships within own team and with stakeholders at all levels of the university; excellent customer service and written and verbal communication skills.
Experience with OnBase other EDM platforms; experience managing HR projects; experience working in higher education, public sector, or other highly collaborative environment; PMI Certification.
Target Salary: $65,000.00 - $75,000.00 Annually
