Coordinator will load AutoCAD and digital files on the network and in the Facilities Electronic Document Management System (EDMS) database; adding new documents as received or scanned in-house. Hardcopy information will be labeled and shelved. Information received from Capital Project close-outs and other sources will be reviewed for completeness; sometimes requiring follow-up actions with Project Managers or Architects and Engineers. Coordinator will maintain an Access Project Database for all completed Facilities projects entering summarized data from Transmittals, identifying and tracking missing information (email folders). Assist with many of the daily duties if the Facilities Resource Center (FRC) which include making prints and helping customers find documentation located on Resource Center shelves, on the computer network, in the EDMS or in Penn’s central archives. As required, send out drawings for reproduction, create CDs, and arrange pickup and delivery. Periodically, review archived project information prior to destruction.
