UW Medicine is comprised of Harborview Medical Center (HMC), Northwest Hospital & Medical Center (NWH), Valley Medical Center (VMC), UW Medical Center (UWMC), UW Neighborhood Clinics (UWNC), UW Physicians (UWP), UW School of Medicine (SOM) and Airlift Northwest (ALNW). In addition, UW Medicine shares in the ownership and governance of Children's University Medical Group and Seattle Cancer Care Alliance (a partnership between UW Medicine, Fred Hutchinson Cancer Research and Seattle Children's). ITS is responsible for the ongoing support and maintenance of the infrastructure and applications which support all of these institutions, along with the implementation of new services and applications that are used to support and further the UW Medicine mission.The Communications Specialist ('Specialist'), under general direction of the Assistant Director for ITS Human Resources and Administration, will develop and execute strategic and tactical communications plans across the platforms of written and digital communications, web, and social media. The purpose of the position is to create a communications foundation and platform for clear, concise, and comprehensible information that is engaging and user-friendly in order to promote information technology information to ITS customers who may be healthcare staff and physicians, support staff, management, and executive leaders. This position will also use the communication foundation and platform to promote and inform ITS staff, physicians, management, and executive leaders of any department employee engagement goals, programs, and activities.The Specialist should be highly motivated, collaborative, and deeply organized with excellent written communication skills and experience leading multiple projects at a time. The Specialist will develop original and diverse communications materials for internal and external audiences, including but not limited to emails, talking points, presentations, and social media. The Specialist will ensure consistent, effective, and transparent communications of project activities and milestones as well as stakeholder and leadership activities and decisions made. The Specialist will partner with Marketing and other departments across the enterprise to ensure alignment of all internal/external messaging.The position will support IT-related communications with internal and external customer stakeholder representatives and all technology end-users. The role will serve as ITS' subject matter expert in communications and will provide consultation to staff and management on customer feedback processes, mechanisms, and metrics. The position must understand the IT landscape in a healthcare environment and how changes to IT systems apply to end-users across UW Medicine entities. This position will also be responsible for employee engagement communications; creating communications campaigns that compliment and align with the existing communication activities of the University of Washington, while leveraging the UW enterprise communication tools and channels.For the initial phase of the position (first 2-3 months), responsibilities include:Planning and Development (100%)Work directly with key stakeholders to develop the communication program by facilitating the development of the program's guiding principles and methodology through solicitation of input from program leadership, site and operational leadership, and appropriate internal and external stakeholders.Facilitate the development and maintenance of program-level communications requirements.Develop the program's communications toolset to include: standard communications processes, guidelines, vehicles, tools and templates, while maintaining alignment with UW Medicine branding standards.Implement a governance structure to manage the creation and delivery of department and project-level communications.After the initial phase of the position (2-3 months after start date):Communications Program Management (40%)Maintain the program's communication guiding principles and methodology to ensure it continues to fulfill the organization's requirements.Maintain the program's overall communications plan and schedule in coordination with site managers, business owners, project management and program leadership.Maintain the program's communication's toolset: processes, guidelines, vehicles, tools and templates, ensuring alignment with UW Medicine branding standards.Create program-level communications as assigned to include these types of publications for employee engagement, department and UW Medicine news and initiatives: (a) department monthly newsletter, (b) department announcements, (c) program-level presentations for leadership and oversight committees, (d) operational and IT leadership events, (e) all-team meetings and (f) program-level status reports.Apply the methodology and guiding principles across program communications to ensure alignment with communications practice.Facilitate the governance structure that manages the creation and delivery of program and project-level communications.Oversee the department website (internal and external-facing) and provide direction to stakeholders on content maintenance, website architecture changes, and overall web presence. Communications for Major ITS Projects (40%)Create project-specific communications plans and schedules during planning phase of major ITS projects.Apply the ITS communications program's methodology and guiding principles across project communications deliverables to ensure its alignment with communications practice.Develop and/or deliver project communications when assigned.Facilitate the execution of project communications and schedules for major ITS projects.Manage issues and risks related to the communications thread in accordance with documented issue and risk management guidelines and escalate appropriately.Manage Execution of Projects (10%)Using standard tools, templates, policies and procedures, manage communications projects and complete deliverables as assigned.Ensure thorough documentation needed for project.Manage execution of project tasks, understanding task dependencies and timeline impact.Manage Project Tasks Assigned to ITS Staff (10%)Provide direction and demonstrate leadership over execution of assigned tasks to ITS staff.Delegate tasks with clear expectations of deliverable scope, quality and timeline constraints, as well as the tools and processes that should be used.Ensure high quality and timeliness of work produced by assigned technology staff, and escalate exceptions, as appropriate.What you'll bring to the table: (minimum requirements) Bachelor's degree in Journalism, Communications, Public Relations, Business Administration, English or related field or equivalent combination of education/experience.4+ years experience must include the following:4+ years of professional work experience in writing, editing, and publishing to include 1-3 years of related executive-level project or program experience. Broad functional experience in planning, researching, writing, problem-solving, editing and coordinating production of communications. Ability to analyze complex information and develop strategic insights and recommendations.Demonstrated proficiency in software applications, including Microsoft Word, Outlook, Excel, PowerPoint and specialized tools such as WordPress and Adobe Acrobat. Demonstrated project management skills.Ability to work across multiple teams and leadership. Working knowledge of current marketing/communication principles and formats (e.g., digital, social, and traditional). Creative and engaging mindset to problem-solving and communication tactics.The successful candidate will also have:Excellent verbal, written, and electronic communication skills with the ability to communicate with highly technical and non-technical customers, as well as with a broad range of users from Executive Directors, Medical Directors and CFOs to Technicians.Excellent analytical and problem-solving skills combined with excellent organizational ability and attention to detail.Demonstrated ability to manage priorities and utilize time effectively.Strong interpersonal skills.Ability to quickly research, learn, and evaluate new technologies.Ability to visualize global perspective.Strong customer service principles with the ability to successfully multi-task.Ability to work with minimal supervision both independently and as part of a team.Demonstrated ability to work in and support a matrixed environment. Ability to maintain discretion and manage confidential information.Ideally, you'll also have: (desired skills and experience)Healthcare IT industry experience.Progressive experience participating in an organization's multi-year, complex change management project.Experience working with a diverse range of physicians, staff and leadership in a healthcare provider organization environment.Formal training and/or certification on PMBOK-based project management techniques.What are some of the other tidbits that you might want to know?The technical environment is highly complex and vital to the success of the UW Medicine mission.Daily response to customer demands within imposed deadlines is required.
