ADMINISTRATIVE OFFICER , History Section , to manage all financial, personnel, and administrative operations for the section, including communicating effectively across all levels and acting as liaison with numerous central Institute offices. Duties include working with the section head on the annual budgeting and planning process, coordinating grant applications, monitoring funded projects, overseeing the monitoring of all section cost objects, and preparing budget projections; providing financial and administrative support for the HASTS (History, Anthropology, STS) doctoral program in conjunction with the three section heads, the director of graduate studies, and the AOs of the other two sections; attending meetings of the HASTS steering committee; working with the section head on faculty searches and tenure/promotion cases, long-and short-range planning for the section, curriculum and teaching issues, and initiatives to improve program visibility; supervising and providing training and mentoring for section support staff; managing personnel functions for all staff categories, including the creation of job descriptions, hiring, salary reviews, visa applications, etc.; overseeing software, hardware, and other equipment purchases; and handling day-to-day facilities' issues, including space maintenance and space changes.
REQUIRED : bachelor's degree; five years' administrative experience; familiarity with sponsored project management; excellent quantitative and verbal and written communication skills; familiarity with academic programs; diplomacy and good judgment with confidential information/issues; and the ability interact effectively with faculty, staff, and students. MIT experience and proficiency with its reporting, financial, and sponsored account systems, including SAP, COEUS electronic proposal submission software, and BrioQuery/COGNOS preferred; as is grants management experience.
