BASIC FUNCTION: Reporting to the Senior Director, Advancement Operations & Programs, the Office Coordinator for Advancement provides the advancement team with administrative and technology support for all fundraising and advancement initiatives. ESSENTIAL DUTIES AND RESPONSIBILITIES: Provide administrative support to the Office of Advancement: correspondence, department files, supply inventory, shared calendars, phone coverage, written procedures and other clerical support. Provide administrative support for fundraising events including creation of printed materials, reservations tracking, gift entry and acknowledgement and other operational support for gift officers and volunteer committees. Insure proper acknowledgment of special gifts as needed or requested. Prepare URA Vice President's acknowledgements for gifts over $500 and President's acknowledgements for gifts over $1,000. Play a key role in maintaining and creating digital collateral for advancement initiatives, including, promotional emails, web pages, and online registration forms. Process and distribute daily mail, including, receiving and routing of gifts received through the mail and by staff. Prepare family memorial/honorarium acknowledgements, create memorial cards as needed, maintain list and send to family member(s). Monitor and track all spending within the Office of Advancement using university budget system; provide Senior Director, Advancement Operations & Programs with monthly budget projections. Assist advancement staff with expense tracking. Assist Senior Director, Advancement Operations & Programs with the named scholarship program, including, preparation of the annual scholarship awards ceremony and maintenance of online tools. OTHER DUTIES AND RESPONSIBILITIES: Provide support to University Relations & Advancement as needed. Perform other duties as required by the Senior Director, Advancement Operations & Programs
Job Requirements:
Some college or professional training required and at least three years of office experience preferred. Working knowledge of MS Windows and MS Office tools required. Database knowledge and experience required. Strong communication and interpersonal skills required. Ability to work under pressure during high volume cycles required. Ability to take direction, to work independently and as part of a team a must. Attention to detail a must. Experience in a fundraising environment strongly preferred. Demonstrated proficiency with web page maintenance and event tracking software preferred.
