Job Requisition Number: 26358. The Development & Alumni Relations (DAR) unit at the Haas School of Business develops and executes alumni relations and fundraising programs, events communications and activities to engage Haas’ 40,000+ alumni, students, parents, faculty, staff and friends. The unit consists of 30 full-time staff members who are responsible for achieving and growing fundraising results, strengthening the alumni network, and furthering engagement through programming, lifelong learning and volunteer opportunities. Reporting to the Director of Advancement Services, the Data Associate provides support to the entire unit in an ongoing effort to engage and solicit alumni and supporters of the Haas School.
The Data Associate is a member of the Advancement Services team. The Associate performs duties related to the processing of gift and biographical information to the Haas School of Business. The associate is responsible for performing gift and data audits to produce and merge acknowledgement letters on behalf of the unit and the school. This position will also be responsible for data entry biographical information for nearly 40,000 alumni and 100,000 donors and friends.
Process, record, and maintain data related to gift processing and biographical information for constituents affiliated with the Haas School of Business. Includes accurate and complete data entry and maintenance. Key responsibilities include: •Perform data entry requests from work queue, such as: •Update constituent records, as reported or requested, in the system of record. •Monitor and update subscription data enhancement sources (Obit Messenger, Google notifications and Market Watch) •Update email groups, including subscription requests, senders, and all members. •Research biographic information to complete constituent profiles within the system of record to include email, phone, address and employment information. •Interface with Haas School Centers and Institutes to collect and record constituent data and lists, such as board participation and event attendance. •Collect, record, and enhance data lists to track alumni engagement including affiliations, committees, events, interests, etc. •Interface with University Development & Alumni Relations’ Advancement Information Management team to prepare data for autoload processes. •Maintain and digitize files and maintain gift records. Oversee file room. •Interface with student interns and direct data maintenance and filing work as needed. •Other clerical duties as assigned.
Perform gift and data audits to produce data for, merge and send stewardship acknowledgement letters on behalf of Development & Alumni Relations and the Haas School of Business. Key responsibilities include: •Produce acknowledgement data file, as needed. •Perform gift audit working in coordination with the Associate Director for Gift Analysis and Reporting. •Interface with the Associate Director of Donor Stewardship to prepare acknowledgement data file, includes merging and mailing letter to donors to the Haas School. •Produce custom acknowledgement letters at the direction of the Associate Director of Donor Stewardship. •Manage the process for obtaining live signature. •Upload acknowledgement data into the system of record.•Demonstrated success in learning complex data entry practices and procedures. •Demonstrated ability to multi-task and prioritize effectively in a fast-paced, service-oriented environment. •Keen attention to detail and accuracy. •Demonstrated interpersonal skills, using tact, patience and courtesy, to communicate effectively with diverse staff. •Excellent command of time- , customer- and project-management skills, including meeting deadlines and responding quickly to inquiries and/or requests. •Demonstrated ability to work independently and as a member of a team with minimal supervision. •Demonstrated ability to effectively work with and take direction from multiple colleagues, and collaborate with colleagues. •Demonstrated experience engaging with diverse constituents. •Excellent command of office hardware (e.g. computers, printers, projectors, conference phones) and software, especially Google Suite and Microsoft Office (Word, Excel and PowerPoint). •Demonstrated ability to use internet search tools like Linkedln to conduct research. •Availability to work over-time and some weekends with advance notice. •Education/Training: Cal Advancement Data System (CADS) or Advance Web.
