Job Requisition Number: 26360. The Lawrence Hall of Science (the Hall) is UC Berkeley’s public science center, inspiring and fostering understanding and enjoyment of science and mathematics for K-12. The body of LHS work includes the development of dozens of exhibitions, published curricula, and professional development for teachers.
The Hall is seeking an Events Specialist to plan and organize program events, including managing logistics on-site and off-site, registration, catering, and facilitation of communication and other services; and to provide technical support for these activities to departments Hallwide. This position will entail comprehensive coordination and management of events, which include conferences, program events, on and off-site professional development workshops and business meetings, banquets, and retreats.
Every event is unique and requires the Events Specialist’s expertise, impeccable attention-to-detail, organizational skills, and sound judgment. The Events Specialist plays a key role in assisting the Hall’s host accomplish their departmental goals and achieve the organization’s mission of delivering educational opportunities and professional development to schools, communities, and the general public.
The Events Specialist will be required to work some evenings, weekends, oversee off-site events; week-long workshops, and conferences. The incumbent will also be expected to project a positive and professional image through in-person, email and phone interactions at all times
•Planning, organizing and implementing events or portions of events such as symposiums, conferences, program events, public events, receptions, and VIP briefings, on-site and off-site professional development workshops, business meetings and conferences. Arrangements to include parking/transportation, catering, negotiating hotel and venue contracts, coordinating travel arrangements for large group event participants, and day-of support for events •Ensuring successful events by recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion and political acumen and providing post-event debriefing with clients. •Planning consultation and insurance that events are in compliance with applicable state, federal and U.C. policies and procedures. •Developing content for client fee-based and non-fee based event registration websites, promotional materials and communications •Arranging travel and conference registration for Hallwide staff •Planning employee morale building events for Lawrence Hall of Science staff•Experience with event management and the ability to negotiate contractual terms •Knowledge of marketing and communication strategies to effectively promote events and activities to targeted audiences. •Organizational skills to effectively coordinate and track multiple events with various details. •Written and interpersonal communications skills, including tact and political acumen, and skill in effectively representing the campus to its audience. •Solid project management skills. Strong skills in short-term and long-term planning, decision making, analysis, problem-solving, and customer service. •Availability to work occasional evenings, Saturdays and Sundays, on and off-site
Education/Training: •Bachelor's degree in related area and/or equivalent experience/training
