The Program Coordinator provides management for an education, research &/or operations program/project, recommending goals, assessing feasibility and ongoing performance & providing day-to-day oversight of administrative & operational functions
Working Conditions: Must work evenings and weekends as required.
Manages program/project curriculum, seminars, presentations, workshops, learning experiences, chat rooms, websites, social networking, etc. based on goals/objectives.
Manages academic quality of co-curricular programming and continued growth and expansion.
Identifies & obtains external expertise as needed and works with content experts for current and new programs.
Reviews programs/projects to increase efficiencies to support growth.
Manages speaker selection, communication, and topic development.
Manages complex scheduling arrangements involving multiple parties and conferences, international travel, etc.
Leads program/project updates and improvements.
Builds and maintains relationships across the School and University.
Attends weekly EMBA operations meeting and other organization-wide meetings as necessary.
Completes program/project logistical details such as scheduling, curriculum, facilities, technology, registration, enrollment, audits, etc.
Advises students regarding academic matters.
Gathers student data from various databases to ensure degree requirements are met.
Monitors grades and holds.
Counsels students regarding alternatives for course requirements.
Implements strategy regarding structure, process, & staff support of students in compliance with NU policy.
Resolves administrative issues (monitors holds, troubleshoots system login issues, etc.)
Organizes new student activities.
Sets-up and cancels meetings based on knowledge of subject and attendees.
Based on analysis, research, and/or knowledge of subject matter, professional field and/or topic, prepares and compiles correspondence, reports, etc.
Refers students to appropriate resources.
Greets visitors and responds to unanticipated and complex issues.
Assists with student recruitment and admissions process as needed.
Communications and Outreach
Maintains student intranet site, including, but not limited to, timely announcements, events, curriculum, logistics, policies, onboarding, and graduation.
Compiles, distributes, and tracks communications including, but not limited to, weekly schedule emails, timely announcements, onboarding, event RSVPs, surveys, electives, graduation.
Oversees creation, design and maintenance of website and/or blog content ensuring ease and practicality of use for targeted audience and objective.
Organizes information in ways that promotes and encourages use of site.
Gathers information regarding programs, events, etc.
Creates, writes, edits and posts articles, newsletters, program summaries, etc. to website.
Incorporates social media and networking into program/project aspects as appropriate.
Reviews market trends to recommend future plans to increase revenue, participation, engagement, etc.
Represents the department, program or project with various levels of personnel both internally and externally managing and facilitating confidential and/or critical information.
Coordinates programming, educational, student, alumni, workshops, meetings, etc. including speakers, agendas, etc.
Project manages large scale and/or complex events and activities including, but not limited to, onboarding and orientation, Partners Weekend, Electives, Global Network Week, Graduation, Executive Speakers, and various other co-curricular activities and events.
Ensures that all logistics have been completed such as advertising, registration, speakers, international travel arrangements, venues, catering, technology, etc.
Develops plans and arranges meetings, workshops, events, etc. designed to exchange information, promote research objectives, and to build internal and external relationships within NU.
Ensures that event details including communication, venues, presenters, travel arrangements, materials, refreshments and technology are arranged and completed in an appropriate and timely manner.
Observes program sessions and interacts with students for purpose of gaining consumer insight, growing and strengthening program knowledge, and optimizing client satisfaction.
Coordinates the collection, analysis & reporting of required information for surveys, review documents, public information documents, etc.
Analyzes evaluation data from students to assist in program/project development and updates.
Implements corrective actions required as a result of surveys or other indicators.
Administers & maintains existing strategic plans.
Participates with area/unit senior staff in the conceptualization, development and presentation of materials used in functional operations.
Recommends and implements administrative and procedural changes.
Provides a variety of administrative weekend support for EMBA office and classrooms, including but not limited to ensuring facilities are ready, introducing faculty, making in-class announcements, distributing textbooks and course materials.
Serves as a liaison between administration, facilities, faculty, and Kellogg Information Systems to problem solve any issues that occur over the weekend.
Provides customer service to students and faculty, address any issues professionally and constructively, or pass along to administration.
Other duties as required.
Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience
1 year program/project administration or other relevant experience.
Minimum Competencies: (Skills, knowledge, and abilities.)
Advanced knowledge of word processing, spreadsheet, email, and database software programs.
Ability to perform well in a multi-task environment; demonstrated ability to troubleshoot, problem solve, prioritize, and meet deadlines on assignments.
Ability to use systems without supervision including, but not limited to, Canvas, CAESAR, SES, BI reporting, Qualtrics, Sitecore, Microsoft Office, and other software as necessary.
