Serves as hospitality and base level customer service representative for Kellogg School of Management’s Executive Education group, servicing inquiries from global executives in person, on email and via phone.
Coordinates a broad variety of administrative responsibilities and processes, including expense processing and travel planning, in support of Kellogg Executive Education’s Open Enrollment and Custom Program teams.
Enters and reports on data in various systems, including data in CRM database (Salesforce). Manages specific suppressions and lead entry in CRM database.
Manages one-off and recurring projects that entail both independent work and interaction at all levels of the organization. Projects often involve research, data entry and data analysis, as well as visual presentation for executive reports.
Oversees organization and warehousing of supplies and resources in support of Open Enrollment and Custom Program teams.
Maintains a professional and collaborative working environment with confidence, tact and decisiveness while working under pressure of changing priorities and competing deadlines.
Provides information in-person and via phone and e-mail regarding Executive Education opportunities. Conducts preliminary discussions with potential clients, involving the Executive Education marketing, enrollment and business development teams as appropriate.
Serves as a primary point of contact for visitors, including greeting executive guests and providing guidance to visitors to the Executive Education reception area.
Represents Executive Education, both internally and externally; manages and facilitates confidential and/or critical information.
Ability to interact with Faculty and members of the Executive Education staff to understand and interpret requirements for supporting internal and/or external presentations.
Manages complex scheduling and travel-related projects for the Open Enrollment and Custom Program teams.
Coordinates special events at Kellogg and offsite as requested.
Works with constantly changing priorities, unanticipated demands, and multiple tasks and projects with competing deadlines.
Documents & Databases
Creates and/or maintains complex spreadsheets, databases, reports, etc. based on supervisor's information objectives.
Provides project support related to data collection and warehousing methods within the CRM system and other marketing team systems.
Prepares & compiles correspondence, reports, etc. based on analysis, research, and/or knowledge of subject matter.
High level of aptitude with Outlook, Excel, PowerPoint and Microsoft Word, including customized templates, in order to design and execute high-impact visual presentations and other materials and documents for internal and external clients.
Works with CRM system, such as Salesforce and similar software tools for relationship management, data entry and reporting.
Oversees projects, including the supervision of external vendors, setting and achieving project timelines and budgets, including a high level of internal coordination with staff and faculty.
Supports scheduling, arranging and marketing of Executive Education programs, which may include client outreach and follow-up.
Tracks expenses for Open Enrollment and Custom marketing and enrollment teams, and verifies that charges are accurate, reimbursed and posted to the appropriate account.
5 years of administrative support or other relevant experience required.
Minimum Competencies: (Skills, knowledge, and abilities.)
Strong customer service orientation.
Strong communication skills, both written and verbal.
Advanced knowledge of word processing, spreadsheet, email, and database software programs.
Experience with sales, marketing and/or hospitality-oriented functions and organizations

Experience with Salesforce or other CRM systems
Proficiency with HTML and Adobe creative suite
