Primary Responsibilities: Under the direct supervision of the Manager of Finance and Administration, the Office Manager shall organize and coordinate all office functions to enhance smooth delivery of Aging Care Connections operations, programs, and services.
Train and supervise new front desk/phone receptionists in cooperation with the volunteer coordinator.
Enter bills in QuickBooks and properly record cash receipts.
Preparation of weekly deposits and weekly check runs.
Organize, maintain, and update departmental files.
Monitor inventory of office supplies and order replacements as needed along with all toner cartridges for all printers here and at the hospitals.
Update all staff listings, orientation of all new staff and interns.
Sam's Club office supply shopping as needed.
Coordinate with outside vendors for building maintenance, office equipment repairs, and all other office activities.
Continuously work to monitor costs and consider efficiencies for all office operations
Process and meter outgoing mail and sort and distribute incoming mail. Take all certified mail to Post Office weekly.
Coordinate volunteer income tax program on an annual basis in conjunction with AARP volunteers.
Assist with meeting preparations as requested by the Executive Director (i.e. refreshments for board and committee meetings), including off-site purchasing when necessary.
Work independently on special projects.
Provide back-up for the front desk receptionists and volunteers.
Maintain confidentiality in all areas of operations.
Perform other duties as assigned.
Minimum of a high school education with additional training/experience in the area of office administration.
Some college preferred.
Proficient with computer applications such as Microsoft Office-Outlook, Excel, and QuickBooks.
Excellent organization skills and flexibility; detail oriented and ability to multi-task.
Comfortable in a fast paced environment serving older adults. Not-for-profit experience is helpful.
Courteous, professional, and a team player.

Aging Care Connections is a community based organization in suburban Cook County. ACC offers a wide range of programs and services to older adults and their family members. Programs and services are funded through State of Illinois contracts, Federal grants and private grants.
