Summary: This full-time non-exempt position serves as the primary administrative, training and troubleshooting support for 700+ alumni Club and Shared Interest Group alumni volunteer website administrators and supports two officers across efforts to connect alumni to each other and to Harvard through Clubs and Shared Interest Groups.
Duties and Responsibilities:
Serves as the frontline contact for alumni volunteer website administrators utilizing a suite of online tools. Leads trainings, facilitates the sharing of best practices for leveraging tools for enhanced alumni engagement, and disseminates information system updates and enhancements.
Provides frontline helpdesk service. Identifies and troubleshoots issues related to alumni profile data and broadcast email, event management/registration, and website functionality; triages technical support.
Provides research and reporting support; contributes to presentations, and volunteer resources; facilitates sharing of information regarding digital tools to colleagues working with Club and Shared Interest Group volunteers.
Updates and maintains information and resources on alumni-facing websites.
Updates, prepares and distributes alumni data; pulls lists, updates records, creates data visualizations, creates surveys and tracks responses, maintains lists and directories.
Maintains calendars and schedules meetings, takes meeting minutes, and manages AV and teleconference resources for in-person, online and phone meetings.
Manages travel arrangements and expense tracking and reporting.
Drafts communications, manages mailings, triages phone calls and email outreach, and maintains files.
Serves as a front-line team representative, triaging general phone calls and emails. Provides regular front desk coverage.
Performs other duties as assigned. Occasional weekend and evening event work required. Job occasionally requires standing for long periods of time and the ability to lift and carry heavy objects
