The Assistant Director of Recruitment and External Affairs will be responsible for overseeing and implementing admissions, recruitment, and marketing efforts for Sotheby’s Institute of Art – Los Angeles (SIA-LA) at Claremont Graduate University (CGU).
The Assistant Director’s primary responsibility lies in creating and implementing the recruitment plan for Sotheby’s Institute of Art, while representing SIA, the Drucker School and CGU both on and off campus. The position is responsible for all admissions and recruitment duties for SIA-LA’s programs, including managing applications through the review process to completion, deposits, and enrollment; serving the needs of prospective students throughout the admissions funnel; and meeting specified enrollment goals. The Assistant Director manages all external communications related to these efforts and for the many extra-curricular programs and events that SIA-LA produces each year.
The Assistant Director also serves as an important conduit working with a fast-paced office based in Southern California and partnered with campuses in New York and London and programs based internationally in Beijing, Mexico City, and elsewhere. The position serves as the primary conduit between, and collaborative partner with, Sotheby’s Institute of Art’s Global Admissions and Marketing operation in New York City and CGU’s Offices of Admissions and Marketing.
The Assistant Director will be a self-starter with exceptional interpersonal, written and oral communication skills in both old and new, digital media. Must be passionate about the arts, culture, and education in Los Angeles and beyond.
Recruitment: Recruits for all CGU programs while maintaining a special focus on SIA programs and its primary academic partner, the Drucker School. Leads admissions for Sotheby’s Institute of Art – Los Angeles; works with managers and senior teams in New York and London to formulate, integrate and execute global admissions and recruitment strategies that meet both SIA and CGU needs. Coordinates and participates in campus recruiting activities such as presentations, open houses, career fairs, office and campus interviews, conferences and other platforms as needed; works to enhance program brand and reputation; assists in the development and support of diversity recruiting efforts; initiates relationships with niche student organizations and ensures achievement of outreach objectives; develops creative and cost-effective ideas for innovative recruitment strategies and methods.
Admissions: Responsible for application document pipeline and organization. Able to apply high-touch communication throughout application process, from application start to submission, decision and enrollment; assists in identifying and selecting successful candidates for admissions; able to critically evaluate candidates and provide initial screening prior to advancing candidates to the interview and decision process; ensures accuracy and continuity of data for all prospective students across the pipeline; records, updates, analyzes, and reports on all recruiting and admissions data for marketing initiatives; assess ROI from targeted outreach events; masters campus technology solutions and CRM system to track and benchmark and report on all critical data; manages application files through the review process to completion by contacting applicants who are missing documents as well as congratulating new applicants, admitted students, and deposited students; engages admitted students to convert admits to enrollments, prevent ‘melt,’ and foster cohort identity and community.
Marketing: Works collaboratively with CGU and SIA’s marketing departments to promote the brand, programs, and events through print and digital platforms. Ensures accuracy and manages updates for all websites, social media pages, and promotional materials related to SIA-LA programs and public events. Actively manages, maintains, and updates distribution lists for announcements, invitations, and promotions for SIA-LA programs and events. Manages photography and videography to ensure capture of SIA-LA content for use in subsequent local and global marketing efforts and distribution.
Events: Supports or leads the planning, organization and execution of all SIA events, including production of marketing materials; announcement and invitation distribution; liaising with invited participants; rentals, setup, catering, and breakdown; staffing; RSVP lists and communications; and after-action reports.
Outreach: Establishes and maintains relationships with arts and cultural organizations in the Los Angeles area and west-coast region to enhance SIA-LA and CGU presence and visibility. Cultivates on–going relationships with current students to help achieve campus recruiting vision; develops new and innovative methods to differentiate SIA-LA and CGU from peer programs, schools and universities.

Proficiency with PeopleSoft and Slate preferred
Experience with Salesforce CRM high desirable
Bachelor’s degree in Business or arts-related discipline (e.g. Art History, Economics, Business Management, Design, Theater, Dance, Music, Museums). Priority will be given to holders of master’s degree in related fields or any combination of education and experience that provides the required knowledge, skills, and ability.
A minimum of two years’ experience in professional field, with preference given to client/customer-facing roles including marketing, events, development in addition to recruitment (corporate or academic). Must be able to exert up to 40lbs of force occasionally and/or up to 20lbs of force in the setup of event spaces (pushing, pulling, lifting chairs and tables, AV equipment, etc).
The regular hours for this position are 8:30 AM to 5:00 PM Monday through Friday, with occasional evening and weekend recruitment travel, events and/or outreach campaigns. Must possess a valid California Driver's license and meet CGU’s authorized driver’s requirements.; valid passport. Successful completion of criminal background and DMV checks required for final candidate.
