Our Language Technologies Institute is looking to hire a Senior Financial Coordinator within the department business office. In this role, you will work in a dynamic environment to assist with development of our departmental, program, and project budgets and reports. You will be responsible for providing advanced administrative support for the business manager, director and/or department head. You will provide assistance for more complex programs and projects that require advanced administrative skills and in depth knowledge of department practices, policies, procedures and programs. This may include oversight of workflow, leading other administrative coordinators, distributing work, handling payroll/personnel paperwork, reviewing and processing invoices, coordinating and scheduling meetings, seminars and conferences. You may perform secretarial/clerical tasks as needed.
Your responsibilities will include:
Entering financial data in Oracle, SPARCS, and other university and sponsor systems
Processing various contracts and gift documentation, preparing related invoices and organizing (digital) files
Setting up and monitoring grants management accounts monthly, initiating related financial transactions
Journal entries for departmental accounts
Distributing planning files and other financial information to faculty, addressing related questions, advancing to supervisor as needed
Transactional Accounting:Handling expense reimbursements for general business activity. Procure goods and services (with mentorship from campus procurement support), arrange for payments using a purchasing card (PCard), special service payments, contracts, purchase orders, arranging wire transfers, and other means.PCard verifications
Distributing itineraries or meeting agendas, ensures meeting materials are produced and available
Updating and maintaining website content, shared directories, databases, social media, and/or digital information archives
Familiarity with databases and online file systems
Ability to use Excel to import/export data, process and organize data from databases, handle basic formulas, data sorts, filters, etc. Pivot table and Vlookup skills preferred
