TheLaboratory/Special Projects Manager is part of the Department of Chemistry inthe College of Arts& Sciences at Vanderbilt University and is a key individual contributorresponsible for assisting a faculty member(s) with project management andcoordination activities related to laboratory research and service activities.Laboratory research management activities include leadership, coordination andperformance of duties of a major research laboratory essential for ensuringsuccess of the research enterprise. This position will assist with researchproject coordination, collaboration management, grant and publication writingand deadlines, budget establishment and accounting, pre and post-awardsmanagement, team communication and coordination, and other major functionseither directly or in conjunction with PI. Service management activities extendto the local and national community with regards to serving various populationsat the K-12 to higher education and public levels. This position requiresproject initiation and sustainability, assessing and developing processes,improving existing processes, new system implementation, administration andlogistics involved in the successful outcomes of program events and overallproject objectives. This position will interact with various clients within theUniversity and across the United States including but not limited to Universitystaff/faculty, program coordinators and directors, students in higher educationand K-12, and teachers as well as professionals in the STEM workforce. Thisposition includes administrative duties essential to moving forward theresearch and service agendas of the PI. This position does not have supervisoryresponsibility. This position reports administratively and functionally to thefaculty member(s).
Chemistryis the intellectual home to over 250 students, post-docs, and faculty membersworking in a wide range of specializations, as well as the interdisciplinaryfields of chemical biology, structural biology, molecular toxicology, materialschemistry, and nanotechnology. Close collaboration with the School of Medicine,School of Engineering and other departments within the College of Arts andScience-particularly the departments of biological sciences andphysics--provides valuable opportunities to not only excel in the traditionaldisciplines of chemistry but also investigate the many ways that chemistryintersects with other fields.
Duties and Responsibilities:
Analyzes and implement process improvements.
Evaluates processes and assists with the development of new workflow models to improve effectiveness.
Assists with the implementation of a new project management system.
Handles intake of project requests from various team players and stakeholders.
Serves as initial point of contact for incoming projects, seeks out missing information and materials.
Establishes production schedules and communicates those with appropriate stakeholders.
Secures price quotes and communicates details to vendors and team.
Develops work goals for the laboratory consistent with institutional and departmental goals and policy.
May prepare laboratory work schedules.
Plans to achieve goals or establish priorities.
Initiates changes or develop new policies, procedures and/or methods.
Helps laboratory to understand, share, and support the vision of the department.
Ensures the most effective operation of the laboratory.
Develops laboratory guidelines.
Maintains procedures manual.
Assists with the production of routine to complex work of the laboratory.
Ensures financial resources are utilized effectively.
Indirect budgetary responsibility depending on laboratory, may prepare the budget for approval by administration and monitor expenditures against the budget.
Laboratory ordering and requisition handling.
Maintains personnel records, payroll reports for PTO and vacation, time sheets and assist with performance evaluations.
Assures the development of people through orientation and training programs and through work experiences.
Assembles and compiles research or service data for presentation and/or publication.
Assists in collaborative research and service efforts with other faculty, program staff and coordinators, institutions, and/or industry.
Serves as resource to team members concerning program problems/procedures.
Serves as a liaison with other departmental and university administrators.
Contributes to aspects of grant and publication writing and help with submissions.
Administrative support for PI and duties necessary to move projects forward.
Profile of an IdealCandidate:
A Bachelor's degree from an accredited institution of higher education is necessary.
At least five years of directly related experience including project management is necessary.
At least five years of experience in a deadline-driven environment is necessary.
Direct background, experience, or strong familiarity with chemistry or related STEM disciplines is preferred.
Experience with project management, educational outreach and student activities in K-12 or higher education is preferred.
Proficiency in office software tools (e.g. Microsoft Excel, Word, PowerPoint) is necessary.
Familiarity with Adobe Creative Suite, specifically Photoshop, InDesign, and Illustrator is preferred.
Attention to detail is necessary.
Strong organizational and planning skills are necessary.
Ability to articulate concepts and policies clearly is necessary.
Strong oral and written communication skills are necessary.
Experience in higher education data is preferred.
Ability to manage multiple projects simultaneously and prioritize in order to meet project deadlines is necessary.
Superior project management and time management skills is necessary.
Self-motivated and collaborative with a positive and professional approach is necessary.
