60% MCC Cancer Center administrative office receptionist and office generalist • Manage the reception area and answer the phones for the main MCC administrative office suite – including responding to public questions, transferring to appropriate hospital departments, and interoffice call transfers. • Maintain contact lists (administrative staff list, forwarding/gone list for mail, and “whom to call” reference for phone calls) • Manage use of shared items such as Polycom (conference) phone, loaner laptops, official vehicle passes, laser pointers, computer cables • Maintain posted MCRB/CCRB resident lists • Maintain MCRB copiers/shared administrative equipment • Manage conference rooms: including scheduling, routine scheduling checks, sign out of equipment, equipment issues, schedule posting. • Manage upkeep of MCC Directors’ conference room (order and keep supplies tidy). • Manage Masonic Cancer Research Building kitchen cleaning assignment schedule. • Participate as member of the MCC administrative team, including back-up for other team members’ duties and other major administrative events duties as assigned. • With assistance from student workers, maintain supply inventories (office & cleaning supplies). • Back up student worker: copying, errands, MCC mail run, MCC central postings.
20% Support to Administrative Services Manager • Serve as back up support to MCC Director: calendar, phone, expense report support. • Assist with MCC internal and external leadership meetings and retreats. • Assist with other MCC meetings (e.g. monthly administrative staff meeting, quarterly faculty meeting). • Research topics and generate analysis as requested (Google). • Schedule meetings as requested. • Support Cancer Center Support Grant (CCSG) including assistance with proposal preparation for both competitive and non-competitive renewal. • Special projects as assigned.
20% EFS Support for MCC Finance, Operations, Administrative Services, and selected shared resources (Biostatistics, Genomic Engineering, Translational Therapy, Comparative Pathology, Medical Informatics). Also short term back-up for MCC laboratories. • Process expense reimbursements. • Manage and generate requisitions. • Reconcile Purchasing Card (PCard) expenses.
Hourly Salary Range: $15.69 - $22.47

Required Qualifications: -High School Diploma/GED and two (2) years of related office and administrative experience. Training/education may be substituted for some of the years of experience. -Demonstrated writing skills. -Experience and advanced level/proficiency with Microsoft Office, Word, Excel, Power Point, and electronic calendaring. -Experience working with forms, tables and databases. -Basic knowledge and experience with electronic calendars
Preferred Qualifications: -Experience scheduling complex meetings with multiple participants using various electronic calendar systems and arranging event details (i.e., room scheduling, catering, etc). -Experience assisting with project management. -Intermediate to advanced computer skills including proficiency with Microsoft Office, Visio, publication database, desktop publishing, database and/or project management applications and electronic calendars. -Experience with ordering/invoices using electronic financial systems. -Knowledge and understanding of financial policies and procedures -Experience in a research setting. -Experience preparing and finalizing documents with scientific and medical terminology. -Demonstrated excellent interpersonal and communication skills (written & verbal) to include proactive dissemination of information; proficiency in grammar, punctuation, and spelling. -Demonstrated exceptional organizational and problem-solving skills. -Ability to multi-task and prioritize in a fast-paced environment, work independently, show initiative, meet deadlines, and provide administrative support to multiple individuals. -Ability to establish and maintain effective working relationships with management and all levels of personnel. -Ability to handle confidential material.
