Essential Functions: Job PurposeReporting to the Director, Admissions, the Associate Director serves as a critical member of the School of Medicine's (SOM) admissions and enrollment management team. This role is responsible for providing leadership to admissions and enrollment management and staff; developing, implementing and overseeing the SOM's recruitment and admissions initiatives and activities; and maintaining the unit's budget. The Associate Director also participates in planning strategic initiatives; forecasting; setting and attaining goals; and providing support and oversight to operational processes including monitoring and measuring business outcomes.Essential Functions Forecasts industry changes to ensure WSU's SOM is competitive in student recruitment and retention efforts. Develops and implements processing and communication plans in collaboration with enrollment management units and stakeholders.Collaborates with the medical education team to develop admissions and enrollment policies and procedures. Ensures policies comply with federal, state, accreditation and institutional rules and regulations.Provides direction to admissions staff. Responsible for staff hiring, coaching and counseling and conducting performance reviews. Aids staff in responding to applicant inquiries.Develops, coordinates and provides training to educate admissions and enrollment teams in opportunities and trends in the field of medical school admissions. Assists Director in training application reviewers to ensure University and Medical School guidelines are followed and maintained. Coordinates training activities for the Admissions Committee and sub-committees.Works with the enrollment management unit to create and run detailed data reports. Conducts data analysis to make recommendations and implement solutions that improve admissions and enrollment processes.Analyzes staff productivity and modifies processing resources/levels to align with goals. Measures work progress and collaborates with colleagues to institute changes that ensure efficient operations. Partners with Computer and Information Technology (C&IT) in developing and implementing administration aspects of multiple technical systems. Ensures data accuracy and that the admissions and processing timelines are met in coordination with the American Association of Medical Colleges.Serves as a liaison and resource to University personnel and/or external clients. Participates on task forces and committees. Represents the department at various meetings, providing support as needed.Plans and executes special projects related to recruitment publications, public events and on-line engagements. Assists in developing content, design, production and distribution of recruitment materials to prospective applicants. Performs related work as assigned.
Qualifications: MINIMUM QUALIFICATIONSEducation Bachelor's degree in business or related field from an accredited college or university or an equivalent combination of education and/or experience. Master's degree in business administration or related field preferred. Experience Minimum five years of progressive enrollment management experience. Experience and knowledge of federal, state and institutional regulations. Considerable experience in management practice and planning development and implementation of programs, policies and procedure, especially technical set-up and customer service. Demonstrated working knowledge of Admissions and recruitment, policies, business procedures and practices.Knowledge, Skills and Abilities Interpersonal Skills ? Effective interpersonal and customer service skills. Ability to handle pressure situations, including dealing with sensitive and confidential human relations situations. Ability to exercise professional judgement within guidelines.Supervisory Skills ? Ability to delegate work, set clear direction and manage workflow. Proficient in the use of Banner and Microsoft Office tools, including Excel. Experience with Admissions processing software. Experience working with project management software, Salesforce or other CRM systems, Statistical Analysis software (SPSS) and experience with database query and table design preferred. Organizational Improvement Skills ? Must possess skill in developing new policies and procedures, identifying methods to anticipate student needs, developing ways to address and implement changing regulations, and working on committees as well as with other university departments and clinical sites to improve services. Participates in recruitment activities which may require nights and weekends.Evenings and weekends may be required for recruitment activities.
