Our community relations team is seeking a full time Project Coordinator for their Special Events Team.
The Program/Project Coordinator provides strategic support to a mid to large scale, recognized organizational program/project by coordinating all operations for the assigned program or project to facilitate the effective management of programs/projects according to organizational standards.
Coordinate and maintain applicable program/project schedules and agendas; which may include tracking deadlines, deliverables, communication with management and/or stakeholders.
Interface with other departments, staff, leaders and/or other partners in the administration of the program/project. Provide coordination of applicable logistics or information as directed by manager.
Support the development and management of program/project budgets; maintain and track all supporting budget/financial files and documents.
Provide communications project management support to the Sr. Event Coordinators (SEC), on all respective events and event types, both print and digital. Project collateral types to include save the dates, invitations, rsvp cards, programs, menu cards, insert cards, signage, rsvp envelopes, outer envelopes. Responsibilities include managing and trafficking incoming projects submitted through InMotion (or other tracking system), confirming projects and proper SEC follow-up, liaising with designer and providing all necessary copy and event template specification, reviewing initial draft for typos, academic title confirmation through academic affairs, general style guideline compliance, making simple copy edits through the design program , and delivery of draft to SEC for stakeholder review/approvals. Position must track projects and prioritize chronologically, with ultimate prioritization at the discretion of Team Lead and Manager on a per-project basis, based on institutional and/or donor priorities. Position will manage anywhere from 2-6 projects at a time, and approximately 40-50 projects annually. This number may vary between print and digital pro jects.
For printed deliverables - position will be main point of contact with printer – as determined by Team Lead and SEC based on respective event budget – and will review print proof and confirm print details (print qty, dimensions, stock, etc....) prior to submitting to SEC. Position will track delivery of job to office and/or fulfillment or mail house for larger projects, order postage for donor-recognition projects, and will coordinate postage with Cedars-Sinai mailroom for non-donor-recognition projects.
For digital deliverables – position will liaise between SEC, digital fundraising team, and data team to meet deadlines and clarify query requests and data needs. On a case-by-case basis, when applicable, position may handle constituent id data entry to properly fulfill data request in association with communications project.
Upon project completion, position will properly close-out project in InMotion, and will upload all final print and digital deliverables in RE event folder as well as
