Working under direct supervision, provides routine day-to-day business operations support to the Southern California market area project management department. Responsible for processing AP transactions such as vendor invoices and expense reports, setting up projects, Billing and Accounts Receivables, and Contract Administration.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Coordinates the timely entry and processing of standard AP transactions such as vendor invoices and expense reports. Assists with coding and allocating expenses within appropriate system such as PeopleSoft.
Assists Project Managers with agreement preparation as needed. Maintains file of contracts within appropriate filing system (e.g. PeopleSoft, Kahua, etc.). Creates corresponding file(s) that is compliant with company and state requirements.
Creates projects in appropriate system such as PeopleSoft accurately and timely. Prepares billing requests for clients on a monthly basis as requested by Project Managers.
Maintains project and prospect revenue reports for three southern California markets (LA, Newport Beach, and San Diego). Assist Project Managers with AR management
Other duties as assigned.

EDUCATION and EXPERIENCE
High school diploma or general education degree (GED) with a minimum of two years of related experience and/or training.
CERTIFICATES and/or LICENSES
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
OTHER SKILLS and ABILITIES
Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc.
Knowledge of Financial software systems (e.g. PeopleSoft, MTA, VAS and I-Track).
