Cal Poly is seeking a Office Coordinator for the University Housing Department!

The incumbent in this position is a member of the University Housing team. In conjunction with the AVP/Executive Director, Senior Associate Director, Associate Directors and other managers, staff, and students, this position assists in carrying out the mission and philosophy of University Housing and is responsible for supporting and contributing to a positive atmosphere that facilitates respect, inclusivity and collaboration.
Under the general supervision of the Assistant Director of Planning and Support Services (PSS), the Office Coordinator is responsible for a variety of complex, administrative and specialized office functions and serves as a member of the Planning and Support Services team, sharing responsibility for serving an on-campus housing program.
This position provides full administrative support to the PSS staff, supports PSS functions, such as building operations, work order review, coordination, reconciliation, training, project management support, leadership, winter break and summer housing, special event coordination and other duties as assigned.
University Housing, a unit within the Division of Student Affairs, consists of Housing Administration, Facilities Operations, University Housing Depot, Housing Technology, and Residential Life and Education, sharing the overall responsibility for serving the on-campus housing program for over 7,000 residents, which includes 3,300 students living in residence halls, 3,700 students in the Cerro Vista and Poly Canyon Village apartments; 45 students in Agriculture Housing units; 36 students in Cal Poly Lofts downtown; and housing approximately 16,000 guests annually. The University Housing Department consists of approximately 137 full-time staff, up to 50 part-time staff and 150+ student assistants with an overall annual Departmental operating budget of over $50 million.

Minimum Qualifications (Staff Only):
Education and Experience:
High school diploma or its equivalent. Type 45 wpm. Four years of general office support experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience).
Licenses, Certificates, Credentials:
Ability to apply independent judgment, discretion and initiative to address problems and develop practical, thorough and, at times, creative solutions.
Ability to effectively interpret, communicate and apply established policies and procedures.
Excellent organizational and time management skills with the ability to coordinate multiple assignments with fluctuating and time-sensitive deadlines with frequent interruptions and with the ability to perform detailed work with a high degree of accuracy and attention to detail.
Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
Demonstrated ability to establish and maintain effective working relationships and communications within a diverse population, strong listening and interpretive skills, and the ability to deal positively with unexpected developments and diverse perspectives in and outside the University.
Ability to maintain high quality/standards of work, ethics, commitment, and professional responsibility.
Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing. Thorough knowledge of English grammar, spelling and punctuation.
Working knowledge of budget policies and procedures.
Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Demonstrated ability to maintain a high degree of confidentiality.
Thorough knowledge of office methods, procedures, and practices. Thorough knowledge of office equipment, including multi-line telephones, copy/scan, and FAX machines. Ability to accurately maintain electronic and paper files.
Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email. Ability to learn a variety of department and campus specific programs.
Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.
Demonstrated skills in a work order software solution and/or database implementation and training.
In-depth knowledge of Microsoft Word, Excel, and Outlook Email and calendaring system.
Ability to update websites, develop newsletters, electronic and hard copy fliers and publications on a variety of topics.

Ability to split time between multiple working locations, moving from one assignment to another as the need arises.
Ability to work in a high traffic areas and maintain a high tolerance for frequent interruptions and distractions.
Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

Must be able to successfully pass a pre-employment background/fingerprint check.
This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA).
Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date.
