Utica College, a small comprehensive college in Upstate New York, is seeking applications for a Project Manager in the office of Admissions to perform responsible and complex project management, secretarial, clerical, and general office functions that require a thorough knowledge of Utica College departmental operations and policies. Will exercise independent judgment in the absence of established procedures and discretion in the dissemination of information. He/she will provide secretarial support for the Senior Vice President for Student Life and Enrollment Management, perform report writing and review of reports for SVP, and prepare official correspondence, and related documents, and utilizes computer equipment to input, revise, store and retrieve such documents. He/she will assist in supporting all staff tasks necessary to meet enrollment and retention goals, along with assisting with planning of special events hosted by all offices within the Student Affairs and Enrollment Management Division.

Primary responsibilities include:
Serves as the first line for the College and Senior Vice President. Performs receptionist duties by receiving and greeting College employees, students, and visitors, directing them to the appropriate offices or persons, providing factual information or materials to routine inquiries; Reviews budget and keeps SVP up to date on expenditures and balances monthly. Keeps accurate records of expenses and planned events. Prepares and/or completes standard multi-copy forms such as requisitions, vouchers, information cards, and associated form letters by performing keyboarding which requires accuracy, reviewing the completed documents for completeness and accuracy, and submitting the documents to the supervisor for approval or processing the documents according to established procedures. Processes all requisitions for department; Provides required or requested information and/or data for internal or external reports and records, retrieving data stored on word processing discs or computer databases, organizing and presenting the information in a useable and understandable format. Inputs, revises, stores and retrieves correspondence, tables and similar documents on personal computer equipment by using machine formatting and/or utility capabilities and source documents in order to record, update, or produce copies of such documents; Manages projects by defining objectives, creating schedules, attain and establish resources, manage constituents and have the ability to identify, assess and minimize any potential risks; Achieves operational objectives by contributing information and recommendations to strategic plans and reviews; preparing and completing action plans; implementing production, productivity, quality, and customer-service standards; resolving problems; completing audits; identifying trends; determining system improvements; implementing change; Assists with special projects such as Open Houses, Orientation, Guest Speakers, Residence Hall programming as required; Takes an active role in the development of the department’s strategic and operational plans as required by department leadership. Works closely with department supervisor to develop and implement operational goals that support departmental success; Responsible for working with supervisor and other team members to achieve successful results on all established individual and departmental goals and key performance indicators; Develops and administers an Admitted Student Questionnaire; Reviews Reports from Noel Levitz and other consultants and creates plans for execution upon approval by the Senior Vice President; Creates policies and procedures at the request of the Senior Vice President; Other duties as assigned by Senior Vice President.
Bachelors or higher degree preferred; A high school diploma and 2+ years of general office experience is required which includes knowledge of the use and operation of standard office machines such as multi-line telephone, photocopiers and other typical office machines; Word processing and database experience required; Training or education beyond the high school level, which emphasized the skills and experience required for the position, may be substituted for the required work experience.
