1. Manages process for recording gift and donor data and acknowledging donors. Recruits, maintains, and manages a small group of temps, interns, and freelancers for heavy periods of data entry, gift processing, and envelope stuffing; assigns tasks, trains them, sets deadlines, and oversees their work, including spot checking and reviewing problems with them. Processes and records gifts as needed during periods of low-level gift receipt; deposits checks, processes credit cards, and performs other tasks as needed. 2. Tracks all his/her ad sales and ad costs by analyzing and entering sales, expenses, and new business data. 3. Manages sales reports by collecting, analyzing, and summarizing sales data. 4. With Advertising Sales Manager, manages promotional materials updates; coordinates requirements with graphics department; inventories stock and places orders. 5. Develops strategies for identifying potential new advertisers and re-upping previous advertisers. 6. Reaches out to advertisers to pitch and sell ad space. 7. Records all classifieds into computer system to track, bill, and publish all ads on a bi-monthly basis; uploads classifieds to website. Tracks own display ads and special advertising sections through process of placement, design (if applicable), payment, and readying for printing. 8. Gather checks and credit card information for his/her own sales for Business Manager; records all payments. 9. Mails/e-mails tear sheets/magazines and invoices for each published issue. Generates paid receipts for all ads sold. 10. Helps Advertising Sales Manager and Associate Art Director to create promotional advertising to run in the magazine that will include rate cards and other promotional materials as needed. 11. Creates layouts of display classified ads for production department; oversees final print-magazine layout for accuracy and attractiveness. 12. Serves as public face of YAM for callers, visitors, and mail and e-mail correspondents, handling queries and requests or, as needed, directing visitors and communications to appropriate YAM staff. 13. Coordinates Board meetings and other events, oversees catering and Board package preparation and contacts Board members as needed. 14. Researches Yale alumni class years, degrees, and other information as needed for editors. 15. Administers all contracts between editors and freelance writers. 16. Provides support to Editor and Business Manager, such as coordinating Editor's meetings with Yale's President. 17. May perform other duties as assigned.
